General Summary: 

The Site Administrative Assistant will be responsible for assisting the Job Site Leaders with all clerical and administrative functions at the job site. This position will temporarily perform the duties of other office personnel during times of excessive workload, vacations, or absences. The Site Administrative Assistant reports to site leadership. 

Preferred Job Skills:

  • Able to demonstrate advanced computer and keyboard skills to include MS Office Suite.
  • Acute attention to detail.
  • Ability to maintain required levels of confidentiality when entrusted with sensitive business, customer or employee related information.
  • Ability to manage multiple responsibilities in a fast-paced environment.
  • Able to maintain high levels of productivity, meeting deadlines while maintaining accuracy.
  • Effective and professional communicator, both written and verbal. Bilingual, English & Spanish preferred.
  • Able to maintain a pleasant customer service attitude while under pressure.
  • High level of professional business acumen.

Mandatory Hiring Requirements:

References, Background Check, Drug Screen Testing, Valid Driver’s License.

Responsibilities: 

  • Responsible for routine clerical departmental duties as assigned by Project Manager/leadership on the stie.
  • Greet and assist incoming personnel.
  • Assist with employee’s Human Resources paperwork and PPE needs when requested.
  • Track and process rental equipment log, daily.  
  • Ensure all office common areas are organized and ready for use (Conference room, kitchen, copy room, etc.).
  • Provide administrative support for leadership including reports, spreadsheets, labels, schedules, communications, filing, etc.
  • Process incoming and outgoing mail and packages.
  • Become sufficiently familiar with other office support to allow for reliable support.
  • Additional responsibilities may be assigned as needed.

Position Requirements:

  • License: Valid state driver's license as required by job conditions or by the company.
  • Certification: None required.
  • Education: High School Graduate or GED.
  • Experience: Minimum of 1 year of general office experience.

Working Conditions:

  • Work in a climate-controlled office setting with varying degrees of stress and time pressure.
  • Considerable amount of time making repetitive motions.
  • Considerable amount of time sitting.
  • Considerable amount of time using telephone and computer.
  • Sounds, noise levels may be distracting or uncomfortable.


Required Physical/Mental Functions:

  • Comprehend and practice safe work procedures as outlined in Company Safety Handbook.
  • Operate company vehicle.
  • Read and interpret instructional manuals and written instructions.
  • Must hear and see well (either natural or with correction).
  • Must be able to bend, stoop, squat, kneel, push, pull and reach overhead.
  • Able to lift objects weighing up to 30 pounds, with frequent lifting and carrying of objects weighing up to 20 pounds.
  • Tolerant to prolonged sitting.
  • Repetitive use of arms, hands, and fingers.
