HR & Accounts Receivable Specialist
About the Role
USA Tools is seeking a detail-oriented and proactive HR & Accounts Receivable Specialist to support both Human Resources and Finance operations. This role is ideal for someone who thrives in a fast-paced environment, enjoys working with people, and takes pride in maintaining accurate records, ensuring compliance, and supporting the financial health of the organization.
The successful candidate will play a key role in payroll administration, employee onboarding and benefits management, as well as accounts receivable functions including payment posting, account reconciliation, collections, and customer account maintenance.
Key Responsibilities
Human Resources (HR)
  • Process payroll accurately and timely, including employee compensation updates, deductions, and status changes.
  • Coordinate new hire onboarding and employee offboarding processes.
  • Prepare and maintain employee documentation and personnel files while ensuring confidentiality and compliance.
  • Administer employee benefits, including enrollments, changes, and employee inquiries.
  • Assist with annual open enrollment and coordinate with benefit vendors.
  • Support employee relations and maintain effective communication throughout the employee lifecycle.
  • Ensure compliance with company policies and employment regulations.

Accounts Receivable (AR)
  • Maintain detailed customer account records, including payments, credits, and outstanding balances.
  • Accurately post customer payments and ensure proper allocation to accounts.
  • Reconcile daily, weekly, and monthly deposits and resolve discrepancies promptly.
  • Review accounts receivable reports and monitor aging balances.
  • Follow up on overdue accounts and support collection efforts.
  • Conduct account audits to ensure accuracy and completeness.
  • Respond to customer inquiries and resolve billing or payment discrepancies.
  • Provide financial data and reporting support for month-end and year-end closing processes.
  • Collaborate with sales and other departments to ensure a smooth collection and payment process.

Additional Responsibilities
  • Support various HR and Finance department initiatives and projects as needed.
  • Maintain a high level of professionalism, confidentiality, and accuracy in all work performed.

Qualifications
  • Previous experience in Human Resources, Accounts Receivable, Payroll, or a related administrative role preferred.
  • Minimum 1 year of Accounts Receivable and collections experience preferred.
  • Experience with payroll systems, accounting software (QuickBooks preferred), and Microsoft Office, particularly Excel.
  • Strong attention to detail, analytical skills, and problem-solving abilities.
  • Excellent verbal and written English communication skills.
  • Strong organizational and time-management skills with the ability to manage multiple priorities and meet deadlines.
  • Ability to maintain confidentiality and handle sensitive information professionally.
