Job description

Essential Duties and Responsibilities

Accounts Payable

  • Manage the complete accounts payable process, including invoice receipt, coding, approval routing, and payment processing.
  • Ensure timely and accurate payment of vendors in accordance with company policies and negotiated payment terms.
  • Monitor and manage outstanding liabilities.
  • Maintain vendor records, W-9 forms, and compliance documentation.
  • Coordinate with Purchasing to resolve pricing, quantity, freight, and receiving discrepancies.
  • Oversee weekly and monthly payment runs including ACH, wire transfers, and checks.
  • Assist with annual audits and provide supporting documentation as required.

Accounts Receivable

  • Manage customer invoicing and collections activities.
  • Monitor aging reports and proactively address overdue accounts.
  • Work closely with Sales and Customer Service teams to resolve customer billing disputes.
  • Evaluate customer creditworthiness and recommend credit limits.
  • Maintain accurate customer account records.
  • Ensure timely cash application and account reconciliation.
  • Reduce delinquent accounts and improve collection performance.

Financial Management & Reporting

  • Prepare monthly AP and AR reports for management review.
  • Provide forecasts related to receivables and payables.
  • Assist in month-end and year-end closing activities.
  • Develop and maintain internal controls to safeguard company assets.
  • Support budgeting and financial planning processes.

Leadership & Administration

  • Supervise AP and AR personnel, providing training, coaching, and performance management.
  • Establish departmental goals and performance metrics.
  • Develop and document accounting procedures and best practices.
  • Ensure compliance with company policies, accounting standards, and regulatory requirements.
  • Participate in continuous improvement initiatives to enhance efficiency and accuracy.
