Accounting Specialist


Our client is seeking an Accounting Specialist to join their accounting team and provide critical support across a high-volume, fast-paced operation. This is an excellent opportunity for an accounting professional who enjoys working with numbers, staying organized, and taking ownership of transactional accounting responsibilities.

The Accounting Specialist will support accounts payable, accounts receivable, invoicing, sales orders, bank and credit card activity, commissions, reconciliations, and month-end reporting. While the position is primarily transactional due to the volume of activity, it offers meaningful opportunities for professional growth and expanded accounting responsibilities as the individual develops their skills.

What You'll Do

  • Process a high volume of accounts payable invoices and vendor bills, including accurate coding, approvals, and timely payments.
  • Record customer deposits and process invoicing to support accurate accounts receivable and revenue recognition.
  • Enter and process sales orders in QuickBooks, ensuring accuracy between operating systems and accounting records.
  • Prepare weekly reconciliation and parts transfer reports to support month-end journal entries and intercompany activity.
  • Calculate sales commissions and prepare supporting schedules for monthly accruals.
  • Assist with accounts receivable monitoring, including past-due reporting and follow-up.
  • Process and reconcile credit card transactions, including VISA activity, and maintain appropriate supporting documentation.
  • Assist with prepaid account tracking, weekly check printing, payroll tax payments, employee reimbursements, and other payroll-related accounting support.
  • Assist with bank-related activity, positive pay, and cash management functions.
  • Prepare and maintain accounting schedules and reports supporting the month-end close process.
  • Maintain accurate and organized electronic and paper records.
  • Work closely with the Controller and accounting team to complete weekly, monthly, and year-end accounting activities.
  • Cross-train on additional accounting functions and assume expanded responsibilities as skills and experience grow.
  • Assist with additional accounting projects and duties as assigned.

What We're Looking For

  • 2+ years of accounting support, bookkeeping, accounts payable, or accounts receivable experience.
  • High school diploma or equivalent required.
  • Associate degree in Accounting, Finance, or Business preferred; a Bachelor's degree with an Accounting or Finance concentration is a plus.
  • Strong working knowledge of QuickBooks or similar accounting software.
  • Strong proficiency with Microsoft Excel.
  • Experience working in a high-volume manufacturing, distribution, or wholesale environment is a plus.
  • Solid understanding of basic accounting principles, including debits and credits, accruals, prepaid expenses, and intercompany activity.
  • Exceptional attention to detail and accuracy.
  • Strong organizational and time-management skills.
  • Ability to process a high volume of transactions while consistently meeting deadlines.
  • Excellent written and verbal communication skills.
  • Ability to work independently while also collaborating effectively with the Controller and accounting team.
  • A willingness to learn and take on additional responsibilities as you grow.
