Description
The Accounting Assistant provides comprehensive administrative and accounting support to the Director of Accounting by assisting with accounts receivable activities, financial recordkeeping, reconciliations, reporting, and other accounting functions. This position plays an important role in maintaining accurate financial records, supporting daily accounting operations, and contributing to the overall efficiency of the Finance Department.
The ideal candidate is highly organized, detail-oriented, and proactive, with the ability to manage multiple priorities in a fast-paced environment. This individual should demonstrate strong analytical and problem-solving skills, exercise sound judgment, and be adaptable to changing business needs. A willingness to cross-train and support other accounting and administrative functions is essential to the success of this role.
Requirements
Key Responsibilities:
Accounting & Financial Support
  • Provide daily accounting support to the Director of Accounting and Finance Department.
  • Assist with accounts receivable activities, including invoicing, payment processing, customer account maintenance, collections support, and account reconciliations.
  • Prepare journal entries, maintain accurate financial records, and assist with month-end and year-end closing activities.
  • Assist with banking functions, including deposits, bank reconciliations, ACH and check processing, and related financial documentation.
  • Research and resolve accounting discrepancies while ensuring the accuracy and integrity of financial records.
  • Prepare financial reports, spreadsheets, and supporting documentation as requested.

Administrative & Department Support
  • Provide administrative support to the Accounting Department, including document management, record retention, correspondence, and general office functions.
  • Maintain organized electronic and paper filing systems and assist with departmental reporting.
  • Answer and direct incoming telephone calls in a professional manner.

General Responsibilities
  • Maintain confidentiality and exercise discretion when handling financial and company information.
  • Follow established accounting procedures, internal controls, and company policies.
  • Build positive working relationships with internal departments, customers, and vendors.
  • Crosstrain in various accounting functions to provide departmental coverage and operational support.
  • Assist other departments and business functions as needed to support changing operational priorities.
  • Participate in process improvement initiatives and perform other duties or special projects as assigned.

Qualifications:
Education
  • Associate degree in Accounting, Finance, Business Administration, or related field preferred.
  • Equivalent work experience may be considered.

Experience
  • 2+ years of accounting, bookkeeping, or office administration experience preferred.
  • Experience with accounts receivable, accounts payable, or general accounting functions preferred.
  • Experience using accounting software preferred.
  • Experience using Microsoft Office applications, especially excel, required.
  • Specific excel knowledge requirements include:
  • Enter & format daily financial data
  • Create basic tables, borders, and color codes to organize data
  • Cut, Copy, Insert, Paste rows, columns, and cell groupings
  • Understand how to copy and drag down formulas
  • Sort and filter functions
  • Use formulas including addition, subtraction, multiplication, subtotal, sum, sumif, count, round etc.
  • Create, edit, and update pivot tables

Physical Requirements
  • Prolonged periods sitting at a desk and working on a computer.
  • Occasionally lift and move up to 20 pounds.
  • Ability to communicate effectively by telephone, email and in person.
