Accounting Coordinator
Department: Finance/HR

Reports To: Controller

Position Overview: The Accounting Coordinator is responsible for the day-to-day accounting operations of Cristo Rey Jesuit College Preparatory School. This position manages accounts payable, accounts receivable, Corporate Work Study Program billing, tuition accounting, cash receipts, banking activities, and financial recordkeeping while providing outstanding customer service to families, corporate partners, vendors, donors, and employees.

Working under the direction of the Controller, the Accounting Coordinator helps ensure the integrity of the School's financial records through accurate transaction processing, strong internal controls, timely reporting, and effective communication. The position plays a vital role in supporting the financial stewardship of the School in accordance with nonprofit accounting principles and the mission of Cristo Rey Jesuit.

Key Responsibilities

Accounts Payable

  • Process vendor invoices, purchase orders, and employee reimbursement requests in accordance with School policies.
  • Verify proper account coding, supporting documentation, and required approvals.
  • Prepare weekly accounts payable payment runs.
  • Maintain vendor records and respond promptly to vendor inquiries.
  • Reconcile monthly corporate credit card statements.
  • Administer and reconcile petty cash.
 

Accounts Receivable

  • Manage Corporate Work Study partner billing and collections.
  • Prepare and distribute monthly invoices and statements.
  • Record and reconcile partner payments.
  • Monitor outstanding balances and coordinate collection efforts.
  • Prepare monthly deferred revenue entries.

Tuition & Family Accounts

  • Maintain student tuition accounts.
  • Process tuition payments and deposits.
  • Generate monthly statements.
  • Work with families regarding payment plans and delinquent balances.
  • Assist with financial aid documentation during admissions season

Cash Receipts & Donor Accounting 

  • Record gifts and other receipts.
  • Prepare bank deposits.
  • Ensure proper general ledger coding.
  • Coordinate with Advancement regarding donor gifts.
  • Maintain supporting documentation for audits.

Financial Operations 

  • Perform monthly account reconciliations.
  • Assist with month-end closing.
  • Support annual audit preparation.
  • Maintain accounting records in accordance with nonprofit accounting standards.
  • Assist with special finance projects.

Customer Service

  • Provide excellent service to parents, donors, corporate partners, vendors, and employees.
  • Maintain confidentiality of all financial information.
  • Communicate professionally in English and Spanish when appropriate.

Qualifications

Education

  • Bachelor's degree in Accounting, Finance, Business Administration, or related field 

Experience

  • 2–4 years of accounting, bookkeeping, or nonprofit finance experience preferred.
  • Experience in a school or nonprofit environment is a plus.

Technical Skills

  • Accounting software (QuickBooks or similar ERP)
  • Microsoft Excel (intermediate)
  • Microsoft Word and Outlook
  • Experience with student information systems or donor databases is a plus.
