Accounting and Office Administrative Assistant


We are seeking a dedicated and detail-oriented Accounting and Office Administrative Assistant to join our team in a permanent part-time capacity. This role offers a consistent schedule from Monday through Friday, 8:30 am to 2:30 pm, with a half-hour unpaid lunch break. The ideal candidate will be organized, proactive, and capable of managing multiple responsibilities to support our finance and administrative functions.


Key Responsibilities


Processing Accounts Payable invoices by matching invoices with purchase orders and packing slips to ensure accuracy.

Posting vendor invoices to the ABAS accounting system.

Creating daily deposits for bank reconciliation.

Acting as a backup for Accounts Receivable invoices and assisting with collection calls.

Supporting the preparation and loading of check runs.

Organizing, maintaining, and updating physical and electronic files and records, including scanning and filing documents.

Serving as the primary point of contact for incoming communications, answering and directing telephone calls, taking detailed messages, responding to inquiries, and greeting visitors as needed.


Skills and Qualifications


Previous experience in accounts payable, accounts receivable, or office administration preferred.

Proficiency with accounting software, particularly ABAS, is a plus.

Strong organizational skills and attention to detail.

Excellent communication and interpersonal skills.

Ability to handle multiple tasks efficiently and prioritize effectively.

Professional demeanor with a customer service-oriented approach.

Basic proficiency in Microsoft Office Suite (Word, Excel, Outlook).

Reliable, punctual, and able to work independently within a team environment.

Education and/or Experience: High school diploma or equivalent.

Reasoning Ability: Ability to define problems, collect data, establish facts, and draw valid conclusions.

Physical Demands: While performing the duties of this job, the employee is regularly required to stand, talk, and listen. The employee must be able to ascend and descend stairs. Employee must be able to sit for prolonged period of time. The employee is occasionally required to sit and reach above shoulders. The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities by this job include close visions, distance vision, color vision, peripheral vision, and depth perception.
