Job description

Advanced Systems Services Inc. is seeking a dependable, detail-oriented Accounting & HR Assistant to support our Accounting Manager and help keep essential financial, payroll, compliance, and employee records accurate and organized. This is a hands-on role for someone who enjoys working with numbers, solving routine discrepancies, maintaining well-organized systems, and following important tasks through to completion. 

In this position, you will assist with accounts payable, reconciliations, payroll verification, month-end activities, vendor administration, and Accounts Receivable backup. You will also help maintain certifications, compliance records, personnel files, onboarding and termination paperwork, and workers’ compensation documentation. The ideal candidate communicates professionally, handles confidential information with discretion, and is comfortable working across Accounting, Purchasing, management, employees, and outside vendors. 


Qualifications:

  • Associate degree in accounting, finance, business administration, or a related field preferred; equivalent relevant accounting experience may be considered. 
  • Two to three years of experience in accounting, payroll, HR administration, or a closely related administrative role, including at least one year of hands-on accounting support experience. 
  • Proficiency in Microsoft Office, including practical Excel experience with pivot tables, XLOOKUP, SUMIFS, data validation, and filtering. 
  • Working knowledge of fundamental accounting concepts, including debits and credits, basic journal entries, account balances, and generally accepted accounting principles (GAAP). 
  • Highly organized, detail oriented, and able to manage multiple deadlines and follow-up items. 
  • Effective oral and written communication skills, including the ability to draft professional emails and explain routine discrepancies clearly. 
  • Ability to handle payroll, personnel, financial, and business information with discretion and confidentiality. 
  • Ability to work collaboratively with Accounting, Purchasing, managers, employees, vendors, and outside service providers.
