Job description

We are seeking a motivated and detail-oriented Client Service Associate (CSA) to support an advisor for a growing RIA and serve as a key point of contact for clients. The ideal candidate is proactive, organized, and committed to delivering an outstanding client experience. This role is responsible for client account administration, operational support, and helping ensure the smooth day-to-day operation of the firm.


Key Responsibilities

  • Serve as a primary point of contact for client service requests and inquiries.
  • Maintain strong client relationships through timely, professional communication.
  • Assist with new account openings, account transfers, account maintenance, and required paperwork.
  • Process client requests, including distributions, contributions, beneficiary updates, and address changes.
  • Coordinate client meeting scheduling and prepare meeting materials.
  • Maintain accurate client records and documentation in CRM and custodial platforms.
  • Track and follow up on pending client service items to ensure timely completion.
  • Assist with client onboarding and account implementation processes.
  • Support compliance-related documentation and administrative requirements.
  • Work closely with the advisor to improve operational efficiency and client service processes.
  • Handle general office administration and special projects as needed.
  • Experience with alternative investment subscription documents.

Qualifications Required

  • Bachelor's degree from an accredited college or university.
  • Minimum of 2 years of Client Service Associate, Financial Services Assistant, or related experience within a financial advisory, wealth management, brokerage, or banking environment.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities and work independently in a small office environment.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel.
  • Commitment to maintaining confidentiality and professionalism.

Preferred

  • Experience working with Charles Schwab Advisor Services platforms and systems.
  • CFP® certification (or progress toward obtaining the designation).
  • FINRA Series 7, 63, 65, or 66 licenses a plus.
  • Experience with financial planning software and CRM systems.
  • Knowledge of investment accounts, retirement plans, and wealth management operations.
