Circle Logistics is looking for a Account Service Specialist to join our Whiteland team. This is a great opportunity for someone with billing experience who enjoys a fast-paced environment and wants to be part of a growing transportation company.


You'll play an important role in making sure loads are billed accurately, paperwork is complete, discrepancies are resolved, and our billing process stays on track.

🚛 What You'll Do

  • Receive, organize, and match invoices to the correct loads
  • Verify billing information and correct discrepancies or errors
  • Calculate rates, shipment charges, discounts, and applicable billing terms
  • Review and update rate sheets, contracts, and supporting documentation
  • Scan and import invoices and supporting paperwork
  • Prepare and send accurate, itemized invoices and statements
  • Communicate with carriers to obtain missing or corrected billing paperwork
  • Research and resolve transportation accounting discrepancies
  • Reconcile accounting records at month-end
  • Complete data entry and maintain accurate records
  • Maintain SOPs, manuals, spreadsheets, and other department documentation
  • Generate reports using Excel and transportation management systems (TMS)
  • Provide occasional operational support to Transportation Coordinators
  • Take on additional projects and responsibilities as assigned

Required:

  • High school diploma, GED, or equivalent experience
  • Strong attention to detail and organizational skills
  • Excellent communication and computer skills
  • Ability to multitask and prioritize in a fast-paced environment
  • Ability to work independently while also being a strong team player


Preferred:

  • Understanding of transportation billing, rates, contracts, and tariffs
  • Experience working with a TMS
  • Strong Excel skills
