Position Summary:

The Finance Associate is responsible for managing ACHD’s accounts receivable functions, ensuring accurate and timely invoicing, payment tracking, documentation, and reporting. In addition to AR responsibilities, this position provides support to the Finance team and assists with finance, grants, human resources, and organizational operations.

The Finance Associate works closely with the entire ACHD team and serves as an important resource in maintaining accurate records, supporting compliance requirements, and ensuring smooth day-to-day operations.

Reporting Relationship & Collaboration:

The Finance Associate reports directly to the Finance Lead/Grants Administrator and works closely with the entire Finance team. The position plays an important role in ensuring accurate financial information, timely administrative support, and effective coordination across the organization.

Requirements:

Accounts Receivable (Primary Responsibility)

  • Manage the organization’s accounts receivable processes, including preparing invoices, recording payments, monitoring outstanding balances, and maintaining accurate receivable records.
  • Track and follow up on outstanding invoices and receivables to support timely collection and accurate financial reporting.
  • Ensure proper coding, documentation, and recordkeeping for receivables, including grant, contract, program, and other revenue sources.
  • Reconcile accounts receivable records and assist with month-end and year-end close processes.
  • Maintain organized and audit-ready AR documentation and provide support for financial reporting and audits.


Finance, Grants, HR & Administrative Support

  • Assist the Finance Lead/Grants Administrator with general finance activities, including financial data entry, reporting, reconciliations, and maintaining financial records.
  • Support grant and contract administration by organizing documentation, tracking deadlines, and assisting with funder reporting requirements.
  • Assist with HR and administrative processes, including employee documentation, record maintenance, onboarding support, and compliance tracking.
  • Support purchasing, expense tracking, vendor records, and other administrative tasks as needed.


Team & Organizational Support

  • Work closely with the Finance Lead/Grants Administrator and collaborate with staff across all departments to support organizational needs.
  • Provide flexible support for special projects and operational priorities.
  • Communicate effectively, maintain confidentiality, and contribute to a collaborative, equitable, and mission-driven workplace.

Required Qualifications:

  • Experience in accounting, finance, bookkeeping, accounts receivable, or related administrative support.
  • Strong attention to detail and ability to maintain accurate records.
  • Proficiency with Microsoft Excel, Google Sheets, or similar spreadsheet tools.
  • Experience with accounting software such as QuickBooks, MIP, or similar systems.
  • Strong organizational skills and ability to manage multiple priorities.
  • Ability to maintain confidentiality with financial and personnel information.
  • Strong written and verbal communication skills.
  • Ability to work collaboratively with a diverse team and community members.
  • Successful completion of a background check.
  • Valid driver’s license, reliable transportation, and comfort with regular local driving.
  • Acceptable results of a Motor Vehicle Record report at the time of hiring and periodically thereafter, and maintenance of minimum acceptable insurance coverages are required for this position.


Preferred Qualifications:

  • Associate’s or Bachelor’s degree in accounting, finance, business administration, or related field.
  • Experience working with nonprofit organizations, grants, or government contracts.
  • Experience with accounts receivable, invoicing, and funder reporting.
  • Experience supporting HR or administrative functions.
  • Experience with MIP, QuickBooks, Monday.com, or similar systems.
  • Fluency in an African language.


Supervisory Responsibilities:

  • This position has no supervisory responsibilities.
