Job description

Property Access Services Specialist
Position Summary
The Property Access Services Specialist is responsible for supporting the daily operations of the Association's 24/7 Property Access Services Hub. This position monitors property access systems, verifies guest authorizations, assists residents and visitors, and ensures all access procedures are followed according to Association policies.
This role works closely with the Property Access Services Manager and the Welcome Host team at the gate to maintain secure, efficient, and professional property access operations.
Key Responsibilities
Access Monitoring & Verification
  • Monitor property access systems and gate activity
  • Verify guest authorizations and property access permissions
  • Assist with processing guest entries and resident access requests
  • Ensure all access procedures follow Association policies and security protocols

Customer Service
  • Provide professional assistance to residents, guests, and vendors
  • Respond to phone calls, messages, and access inquiries
  • Communicate clearly and courteously with gate staff and residents

Gate & Guest Coordination
  • Work with Welcome Hosts to confirm guest information
  • Assist with resolving entry issues or access discrepancies
  • Ensure accurate guest verification before granting property access

System & Technology Use
  • Operate property access software and monitoring systems
  • Enter and update guest or resident access information
  • Report system issues or irregularities to the manager

Operational Support
  • Follow established standard operating procedures
  • Document incidents, unusual activity, or access issues
  • Support smooth handoff between shifts to maintain 24/7 coverage

Qualifications
  • Customer service experience preferred
  • Strong communication and interpersonal skills
  • Computer and phone proficiency and ability to learn new software systems
