Job description

ACADEMIC PROGRAMS ASSISTANT 2, Earth, Atmospheric & Planetary Sciences, to perform complex and diverse administrative and office management duties in support of the Assistant Director of Academic Programs in the Education Office. This office serves approximately 40 faculty, 195 graduate students, and 40 undergraduate students, and is the first point of contact for the Education Office to external constituencies. The position requires problem solving in highly varied and complex situations as well as serving as a high-level individual contributor to multiple projects. Primary responsibilities include responding to telephone and email inquiries; assisting with the processing and management of graduate student appointments, grades, degree lists, and thesis submissions; scheduling classrooms within the building and coordinating scheduling with other headquarters administrative assistants; maintaining education databases for student records and admissions; monitoring expenses and processing reimbursements; assisting with maintenance of the department’s internal website pages; drafting correspondence; and scheduling meetings for the admissions and education committees. The role also serves as event coordinator for the Education Office, including assisting with the planning and execution of educational activities such as DEAPS, IAP, UROP, field trips, admissions open house, and orientation. Additional responsibilities include training administrative assistants on Education Office procedures and regularly reviewing those procedures with all administrative assistants; working with faculty and their support staff to process visiting student applications; creating and distributing event materials; providing general support to the Assistant Director of Academic Programs on other educational activities; and serving as the primary contact for the EAPS Undergraduate Council.
