Job Description: Reporting to the Accounts Payable Manager, the AP Clerk is responsible for providing administrative and clerical services and to ensure accuracy and efficiency of operations. By executing these core roles, the AR Clerk will make ABC a great place to work and surprise our customers with exceptional service.

Core Roles

Department:

  • Voucher invoices from vendors daily.
  • Ensures parts are received in and out properly from the stores and warehouse.
  • Verify pricing and shipping information.
  • Report to stores and or warehouse all discrepancies on invoices
  • Maintain good contacts and relationships with vendors
  • File and keep invoices and credits to be paid orderly
  • Check daily for invoices and credits that need to be paid
  • Match invoices and credits to statements
  • Track the invoice pending and credit pending spreadsheet to ensure that all inventory has been paid for, credited or corrected properly
  • Ensure that vendors are paid on time
  • Answer calls from vendors and quickly respond to all inquiries
  • Keep track of vendors in credit balance and hold payment until sufficient invoices have come in to offset the credits
  • Answer incoming phone calls as back-up to the receptionist and AR department
  • Cross train with all AP and AR employees to cover any area in the event of another employee’s absence.
