Position Overview:
The Purchasing Agent is responsible for supporting the procurement process by ensuring materials, parts, and supplies are purchased accurately, delivered on time, and maintained at appropriate inventory levels to support business operations. This role partners closely with suppliers and internal departments to monitor inventory, issue purchase orders, track deliveries, manage backorders, and maintain accurate purchasing data while helping drive operational efficiency throughout the supply chain.
What Success Looks Like
In this role, you'll make an impact by:
  • Maintaining appropriate inventory levels to support uninterrupted business operations.
  • Building strong relationships with suppliers and internal stakeholders to ensure timely and accurate deliveries.
  • Proactively monitoring orders and resolving backorders or supply issues before they impact operations.
  • Delivering accurate purchasing data and reporting that supports informed business decisions.
  • Contributing to a collaborative procurement team focused on continuous improvement, efficiency, and customer service.
Key Responsibilities:
Procurement amp; Purchasing
  • Monitor inventory levels and identify purchasing needs to support operational requirements.
  • Prepare, issue, and manage purchase orders to approved suppliers.
  • Track open purchase orders and ensure timely delivery of products and materials.
  • Verify that received orders are accurate and resolve discrepancies with suppliers when necessary.
  • Follow up with suppliers regarding order confirmations, changes, delays, or delivery concerns.
Inventory amp; Supply Chain Support
  • Monitor inventory availability and proactively communicate purchasing needs.
  • Create and distribute backorder reports to internal departments and external stakeholders.
  • Collaborate with Operations, Warehouse, Parts, and other departments to ensure products are ordered and delivered according to business needs.
  • Support inventory planning activities to minimize shortages and improve product availability.
Data Management amp; Reporting
  • Maintain accurate purchasing records by updating internal systems with order details, vendor information, pricing, quantities, and delivery dates.
  • Analyze purchasing and inventory data using Microsoft Excel and other reporting tools.
  • Generate reports and provide data analysis to support procurement and planning initiatives.
  • Maintain accurate documentation and purchasing records.
Team Collaboration
  • Provide purchasing support and cross-coverage for other Purchasing Agents as needed.
  • Assist with departmental projects and continuous improvement initiatives.
  • Work collaboratively with suppliers and internal business partners to improve procurement processes.
  • Perform additional duties and special projects as assigned.
Qualifications:
  • High school diploma or equivalent required; Associate's or Bachelor's degree in Supply Chain Management, Business, Procurement, or a related field preferred.
  • Previous experience in purchasing, procurement, supply chain, inventory management, planning, or a related field preferred.
  • Experience working with purchase orders, vendors, inventory, or procurement systems preferred.
  • Strong Microsoft Excel skills preferred.
  • Proficiency with Microsoft Office Suite.
  • Ability to work independently with minimal supervision while managing multiple priorities.
