What are some common challenges faced by remote ABA schedulers, and how can they be managed effectively?

Remote ABA schedulers often encounter challenges such as coordinating between multiple therapists, clients, and families across different time zones, as well as last-minute schedule changes. Effective communication, strong organizational skills, and proficiency with scheduling software are essential to manage these complexities. Building strong relationships with both staff and clients can also help anticipate needs and prevent conflicts. Regular check-ins with the team and maintaining up-to-date digital records can further streamline the scheduling process and enhance collaboration.

What are the key skills and qualifications needed to thrive as an ABA Scheduling Remote Specialist, and why are they important?

To thrive as an ABA Scheduling Remote Specialist, you need strong organizational skills, attention to detail, and experience in scheduling or administrative support, often supported by familiarity with ABA therapy practices. Proficiency with scheduling software (like CentralReach or TherapyNotes), telehealth platforms, and office productivity tools is typically required. Exceptional communication, problem-solving skills, and the ability to manage multiple priorities remotely set top performers apart. These skills ensure timely and accurate scheduling, effective coordination among therapists and clients, and smooth remote operations for ABA service delivery.

Job description

ABA Therapy Scheduler (Remote Position)

Salary: $30,000โ€“$45,000 base + commission opportunities
Location: Fully Remote

Are you organized, outgoing, and love connecting with people? Do you thrive in a fast-paced environment where your communication skills and attention to detail truly make a difference?

If so, weโ€™d love to meet you! House of Hearts ABA โ€” a growing, mission-driven ABA therapy company dedicated to helping children and families โ€” is looking for a Full-Time ABA Therapy Scheduler to join our team.

This isnโ€™t just another administrative job โ€” itโ€™s a key position at the heart of our operations. Youโ€™ll be the one ensuring that our amazing clinicians (RBTs and BCBAs) are matched with the right families so services can begin smoothly and on time. Youโ€™ll help keep everything moving, everyone connected, and every new case off to a great start.

Experience Required:

Only apply if you have ABA therapy-specific experience in scheduling.
Applicants without ABA scheduling experience will not be considered.

What Youโ€™ll Be Doing:
  • Reach out to new and existing RBTs and BCBAs to confirm their availability, preferences, and schedules for client assignments.

  • Coordinate directly with families and staff to finalize start dates, confirm case details, and ensure everyone has what they need to begin services.

  • Perform the scheduling process end-to-end โ€” from matching clinicians with clients to facilitating introductions and confirming first sessions.

  • Use and manage EMR and CRM systems daily to track active cases, staff availability, and scheduling updates.

  • Set up meetings and communications through Google Meet, Gmail, and other company systems.

  • Stay in close contact with both the recruiting and clinical teams, ensuring smooth transitions from hiring to service launch.

  • Represent House of Hearts ABA with warmth, professionalism, and energy in every interaction with families and team members.

What Weโ€™re Looking For:
  • Strong English communication skills (Spanish fluency preferred but not required).

  • A friendly, outgoing, and confident personality โ€” someone who truly enjoys connecting with people.

  • Quick, efficient, and detail-oriented โ€” youโ€™ll be managing multiple schedules, clients, and staff at once.

  • Excellent email and phone communication skills, especially through Gmail and Google Meet.

  • Comfort and experience with EMR and CRM systems โ€” familiarity with ABA or healthcare scheduling platforms is a major plus. (Experience with CentralReach)

  • Someone who loves solving problems, takes initiative, and thrives in a collaborative, fast-moving company.

Why Youโ€™ll Love Working With Us:
  • Base salary of $35,000โ€“$40,000 per year

  • Commission and bonus opportunities for every successful placement and case scheduled

  • Fully remote position โ€” work from anywhere

  • A chance to join a passionate, mission-driven team making a real impact in childrenโ€™s lives

  • A fun, supportive, and growth-oriented culture where your work truly matters

If youโ€™re looking for a meaningful, people-centered role where your communication and organization skills can shine โ€” and where every day brings new opportunities to help families โ€” then youโ€™ll fit right in here at House of Hearts ABA.

Please Note:
All applications will be reviewed equally and fairly. Applicants who call the company phone line regarding their application will be automatically disqualified from consideration.
We kindly ask that all communication take place through the application portal or email only. Thank you for understanding!
