Job Summary:
Under the direction of the Clinic Units Manager, provides supervision and work direction to the Health Coaches, Unit Clerks, Unit Specialist, and other on-call clinic staff in Clinic. ย He/she is responsible for the day-to-day operations of the Units and coordinates with other departments, including Triage, Patient Services Department, Member Services, and the Medical Records Supervisor to address workflow issues and solve problems so that efficient and effective delivery of patient services are assured.
Essential Job Functions
  • Schedules, assigns, supervises, and reviews the work of the Health Coaches, Unit Clerks, Unit Specialist, and on-call staff, ensures adequate staffing, and coordinates workflow.
  • Orients and trains staff in work procedures, protocols, standards, and Safety/
  • Security practices.
  • Analyzes develop, updates, revises, communicates, implements, and evaluates protocols that meet licensure, regulatory, and funding requirements. ย Ensures that changes in the procedure are enforced and implemented by staff.
  • Conducts staff performance evaluation.
  • Screens and recommends job applications for hiring.
  • Recommend and prepare a performance improvement plan, disciplinary action, dismissal, and other personnel actions in consultation and with approval of Units Manager and Nurse Manager and Human Resources.
  • Consults or communicates with Human Resource Director on matters related to the collective bargaining agreement, personnel policies, and labor laws.
  • Reviews and submits the time card electronicallyย 
  • Monitors staffing budget, equipment, and supply purchases. ย Collaborate with other supervisors to ensure and maintain appropriate spending.
  • Continually assesses the existing system to accommodate changes in policies and procedures.
  • Ensures that clinic policies and procedures are enforced and implemented by staff.
  • Responsible for implementing quality control.
  • Collaborates with all clinics, support services, medical records, membership, and administrative staff.
  • Exercises independent decision making, problem-solving, and planning to improve the quality of services provided.
  • Addresses patient complaints and problems in a timely and satisfactory manner that assures high patient satisfaction with AHS clinic services.ย 
  • Performs all the duties of a Health Coach, if the need arises.
  • Acts as a backup to support functions when necessary and if appropriate.
  • Regularly reports to the Units Manager and / or Nurse Manager for guidance and accountability.
  • Participates in staff meetings.
  • Conducts a monthly meeting with the Health Coaches, Unit Clerks, and Unit Specialist.
  • Participates in the planning and coordination of special clinic days and other agency-wide activities.
  • Recommends and evaluates strategies to improve clinic operation.
  • Orders office and medical supplies for the nursing component.
  • Upholds by personal example the standards outlined in the AHS Guide to Service Excellence and Code of conduct. ย Ensures compliance with HIPAA and all other clinic policies and government regulations.
  • Coordinates staffing, back-up coverage, work distribution, daily assignments in the clinic. ย 
  • Troubleshoot issues relating to the Clinic when requested.
  • Screens and recommends job application for hiring as well as orientation and training of new hires.
  • Conduct staff annual performance evaluation.
  • Assists with special projects including, but not limited to EHR updates, creating training materials, as well as other duties related to clinic flow and customer service as assigned by the Units Manager and/or Nurse Manager.
  • Adheres to policy and procedures with the units.
  • Ensures patient's rights to privacy, safety, and confidentiality.
  • Attends appropriate in-service education courses for technical growth.
Supervisory Responsibilities
  • Supervises the Health Coaches, Unit Clerks, Unit Specialists, volunteers, and on-call staff.
  • Carries out supervisory responsibilities by all AHS policies and applicable laws.
  • Responsibilities include interviewing, screening, hiring, and training employees
  • Planning, assigning, and directing work; appraising performance
  • Rewarding and disciplining employees; addressing complaints and resolving problems.ย 
  • Prioritizes, and effectively manages competing interests in inter-relationships between patients, supervisees, and colleagues.
Minimum Qualifications
  • A high school diploma or a Bachelor's degree andย fourย years of relevant work experience along with increasing responsibilities or two years of relevant work experience in a health care setting
  • Must be a Certified Medical Assistant.
Preferred Qualifications
  • Master's degree (M.A.) preferred, with a minimum one years' medical office experience incomparableย 
  • Valid California Driver's License, insurance, and ability to travel as required to perform duties.
  • Bilingual/bicultural in an Asian language preferred.
  • Commitment to working in the Asian community, to community health care with community health clinics preferred.
  • Supervisory experience preferred.
  • Trained and experienced in the full scope of health coaching duties with front and/or back-office skills preferred such as those gained working as a Health Coach with demonstrated leadership, troubleshooting and team-building abilities
