=== POSITION OVERVIEW ===
This is a full-time, on-site role for an Assistant Office Manager supporting the business office within a major OEM franchise dealership environment. In this role, you will partner closely with the Office Manager to oversee the dealership's administrative, financial, and accounting operations.
You will help ensure compliance, accuracy in financial reporting, and seamless communication across all departments, all while contributing to a transparent and welcoming workplace.
You will work alongside a collaborative team that values integrity, continuous learning, accountability, and respect.
=== WHAT YOU'LL DO ===
- Assist in managing daily dealership accounting functions, including accounts receivable/payable, billing, and general ledger reconciliation
- Support the processing of vehicle sales documentation, title work, and registration paperwork with high accuracy
- Help review and reconcile manufacturer statements, incentives, and financial reports
- Coordinate with the Sales, Service, and Parts departments to resolve accounting or administrative discrepancies smoothly
- Assist with payroll administration, onboarding paperwork, and internal human resources administration as needed
- Maintain a secure, confidential, and highly organized digital filing system for all dealership records
- Step in to support office management leadership duties during peak times or in the manager's absence
- Support a culture of teamwork, accountability, and continuous improvement
=== WHAT WE'RE LOOKING FOR ===
- Previous experience in an administrative, accounting, or office coordination role (dealership or automotive environment is a major plus, but not required)
- Solid understanding of basic accounting principles (bookkeeping, accounts payable/receivable, or general ledger)
- High proficiency with modern software, spreadsheets, and digital DMS (Dealership Management Systems) or accounting platforms
- Exceptional organizational skills, strong attention to detail, and a commitment to data accuracy
- Excellent interpersonal and communication skills to collaborate effectively across multiple departments
- Bilingual communication skills (please specify your language proficiency when applying)
- High school diploma or GED required; an Associate's or Bachelor's degree in Business Administration, Accounting, or a related field is a plus
