The Epic Training Specialist provides critical operational and administrative support to the Epic training program during system implementation and go-live. This position ensures the smooth coordination of training logistics, training delivery support, data management, and reporting activities that enable effective end user readiness. The role works closely with training leaders, Epic Educators, analysts, and operational stakeholders to support scheduling, registration, tracking, and execution of training activities across the organization.

Temporary/ Hourly job duration: 8 months

Location: Onsite in Springfield, IL 5 days per week Mon - Fri

Please note a valid Driver's license and reliable vehicle is necessary as some travel will be required to several of our locations including but not limited to Decatur, Lincoln, Taylorville, and Jacksonville.

Start date: July 20

Education:
• High school diploma or GED required

Experience:
• Strong proficiency in Microsoft Office applications, particularly Outlook, Excel, and Word; ability to manage calendars, spreadsheets, and reports accurately.
• Solid basic computer skills, including data entry, file management, and use of web-based systems and databases.
• Highly organized with strong attention to detail; able to manage multiple tasks, priorities, and deadlines in a fast-paced implementation environment.
• Excellent written and verbal communication skills and the ability to coordinate with trainers, leaders, and end users professionally
• Ability to follow established processes and ensure quality assurance and adherence to those processes; contribute to continuously improving solutions and adapting to changing schedules and priorities.
• Dependable, proactive, and able to work independently as well as part of a team.

Other Knowledge/Skills/Abilities:
• IT training coordination experience preferred
• Education experience or classroom facilitation preferred
• Administrative assistance in an educational setting experience preferred


Principal Duties & Responsibilities:
1. Coordinates and maintains training schedules, class rosters, instructor calendars, and room assignments to support large-scale EHR training efforts.
2. Manages training registrations, attendance tracking, and completion data to ensure accurate documentation and reporting.
3. Prepares, maintains, and analyzes training data and reports, including attendance, completion rates, and readiness metrics.
4. Supports logistics for training delivery, including coordinating training rooms, equipment, system access, and learning materials.
5. Serves as a central point of coordination between trainers, operational leaders, and project teams to ensure training activities are aligned and communicated effectively.
6. Maintains training documentation, trackers, and databases to support compliance and audit requirements.
7. Assists with issue tracking, follow-up, and resolution related to training logistics and learner participation.
8. Provides administrative support before, during, and after go-live to ensure continuity of training operations and rapid response to emerging needs.
9. Performs other related duties as assigned.
