Position Summary
St. Johns River State College is seeking a Registration Specialist to serve as the initial point of contact for the Records Department. This position provides front-line reception services, assists with student correspondence, maintains student records in the Banner/Ellucian system, and supports the day-to-day operations of the Admissions and Records office. The Registration Clerk ensures accurate recordkeeping, assists with registration activities, and provides professional customer service to students, staff, and the public.

Duties and Responsibilities
STUDENT SUPPORT & CUSTOMER SERVICE
  • Serve as receptionist for the Records Department by greeting visitors, monitoring front windows, and answering incoming calls.
  • Provide information on admissions procedures, registration, and records policies; refer complex inquiries to appropriate staff.
  • Compose and distribute routine correspondence such as suspension, probation, graduate, and update letters.
  • Provide assistance to the web help desk and call center.
  • Document messages, screen calls, and route inquiries appropriately.
RECORDS & DATA MANAGEMENT
  • Input, verify, and edit student records in Banner/Ellucian.
  • Scan, index, and maintain student correspondence and documents.
  • Process forms, applications, and other documents ensuring accuracy and compliance.
  • Serve as the primary point of contact for student record subpoenas.
  • Review work for accuracy, completeness, and compliance with established procedures.
ADMINISTRATIVE SUPPORT
  • Assist with registration processing, verifications, and online student system issues.
  • Sort mail and make campus deliveries.
  • Support the day-to-day administration of the Admissions and Records office.
  • Report issues or unusual circumstances to supervisors as needed.
  • Perform other duties as assigned.

Qualifications
Minimum Qualifications:
• High school diploma or equivalent required; Associate degree preferred.
• Applicant must pass verification of employment/reference screening and a background check.
Required Knowledge, Skills, and Abilities:
• Ability to read and write English sufficiently to process departmental documents.
• Strong organizational skills and attention to detail.
• Ability to accurately maintain records and follow oral and written instructions.
• Proficiency in or ability to learn computer programs (e.g., Microsoft Word, Access, Banner/Ellucian).
• Ability to operate office equipment including computers, fax machines, copiers, and telephones.
• Strong customer service and communication skills.
• Ability to perform all essential job functions with minimal supervision within four weeks of employment.
