Weโre seeking an experienced Payroll Specialist to own end-to-end payroll operations across the U.S. and Canada. This is a part-time position with a potential for flexibility on the working structure depending on experience and preference. This role isย ideal forย aย highly detailed individual who thrives in multi-country payroll environments and who enjoys being a trusted subject matter expert. Youโllย work closely with Finance, People & Culture, external providers, and auditors to ensure operational excellence andย seamlessย employee experience.ย ย
About the Role:ย
As a fully qualified, journey-level Payroll Specialist, you will process biweekly payroll,ย maintainย compliance with all federal, state, and provincial regulations, audit and reconcile pay records, and serve as a liaison to employees, internal teams, and third-party vendors. You will also coordinate payroll system upgrades, interpret pay policies, and support year-end processes, benefits administration, and audits.
Key Responsibilities:ย
- Process biweekly payroll for salaried and hourly employees using ADP Workforce Now with accuracy and compliance.ย We currently have approximately 100 employees across both countries.
- Audit pay records, reconcile totals by department, location, and country; apply pay policies correctly (vacation, LOA, disability, government regulations).ย
- Prepare payroll journal entries, complete month-endย and year-end reconciliations, and coordinate third-party payroll system upgrades.ย
- Serve as primary payroll contact for employees and vendors; resolve discrepancies and respond to audit requests.ย
- Ensure compliance with U.S. federal/state and Canadian federal/provincial regulations; administer 401(k) and RRSP contributions and benefits.ย
- Document payroll processes, train staff, and back up specialized payroll functions as needed.ย
Qualifications:ย
- 5+ years payroll experience with the U.S. and Canada.
- Expert in ADP Workforce Now.
- Strong knowledge of payroll regulations, benefits, reconciliations, and year-end processes.ย
- Analytical, problem-solving, and communication skills; able to advise senior partners on complex matters.ย
- Payroll certifications (PCP, CPM, FPC, CPP) or an accounting/finance background required.ย
