Job description

The Accounting Representative oversees a wide range of administrative tasks which include billing and invoicing customers for the Dist- Trans Operations Team. With a professional demeanor to successfully handle and prepare confidential and professional correspondences, documents, reports and transportation invoices. The Administrative Billing Clerk must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a department or office of diverse people and programs. The Administrative Billing Clerk will be responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, requisition of supplies as well as additional clerical duties including functions within the scope of HR, payroll, invoicing, billing and issuing purchase orders.
  • Prepares invoices, develops worksheets, maintains files and other billing related documents.
  • Customer communications via phone and electronic communications.
  • File and retrieves documents and reference materials.
  • Conducts research, assembles and analyzes data to prepare reports and documents.
  • Daily Invoicing of accounts.
  • Arranges, participate and coordinate meetings within the FR&M Teams and local operations, as needed.
  • Monitors, responds to and distributes incoming communications.
  • Liaise with internal staff at all levels.
  • Interacts with internal and external customers.
  • Reviews operating practices and implement improvements where necessary.
  • Assists in the ordering, receiving, stocking and distribution of office supplies.
  • Provides callers with information such as company address, directions to the company location, company fax numbers, company website, and other related information to ensure streamline billing processes and payment.
  • May also assist with other related clerical duties such as photocopying, faxing, filing and collating.
  • All other duties as assigned.

Experience/Education/Minimum Qualifications:
REQUIRED:
  • High School graduate or equivalent (Required).
  • 2+ years' experience supporting at the executive level.
  • Strong knowledge of MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Extensive experience scheduling travel and making corporate meeting and events arrangements.
  • Knowledge of standard office administrative practices and procedures.
  • Must be detail oriented, flexible and able to take initiative on projects/workload.
  • Must possess strong organization, planning and communication skills.
  • Must possess sound judgment and decision making abilities as well as maintain a high level of confidentiality.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

PREFERRED:
  • TMW & Kronos experience.
  • Intermodal experience.
  • Administrative billing and finance experience.
