Records Management Specialist / Archivist

Location: Columbus, OH

Pay: $20–$28/hour

Schedule: Full-Time

Position Summary

The Records Management Specialist/Archivist supports Battelle's Office of General Counsel and enterprise records management efforts by administering and maintaining records retention policies and schedules for physical and electronic records.

This role advances institutional priorities related to the continued maintenance and governance of enterprise records. The position supports the collection, classification, retention, storage, retrieval, preservation, transfer, and disposition of enterprise records in accordance with Battelle policies, contractual obligations, regulatory requirements, and approved records retention schedules.

Responsibilities

  • Administer and maintain records management programs for physical and electronic records, including enterprise records repositories, file rooms, archival collections, and onsite or offsite storage locations.
  • Collect, classify, index, store, retrieve, transfer, and dispose of enterprise records in accordance with Battelle policies and approved retention schedules.
  • Develop, implement, and maintain records management processes and procedures.
  • Ensure compliance with Battelle's safety, regulatory, and operational requirements.
  • Coordinate with records storage and destruction vendors, as needed, and maintain documentation related to inventories, transfers, and destruction approvals.
  • Provide training to peers regarding records retention practices and procedures.

Progressive Responsibilities

The responsibilities below will be progressively assumed as knowledge, experience, and training are gained:

  • Recommend and implement process improvements to enhance the efficiency, accessibility, and effectiveness of records management operations.
  • Collaborate with operational and business units to support consistent records handling practices throughout Battelle.
  • Take on increasing responsibility for records assessments, compliance reviews, training, and cross-functional records management support.
  • Identify opportunities to improve records management processes, accessibility, compliance, and operational efficiency.

Key Qualifications

  • Bachelor's degree in Library Science, Information Science, Archives Management, Records Management, Information Governance, History, Business Administration, or a related field.
  • Five years of successful experience in records management, archives administration, library services, information governance, information management, document control, or a related discipline; or an equivalent combination of education and experience.
  • Experience administering records retention schedules, records disposition programs, enterprise content management systems, and records storage operations.
  • Solid understanding of records lifecycle management principles, archival preservation practices, records classification methodologies, and information governance concepts.
  • Proficiency with Microsoft Office and electronic records management, content management, or information management systems.
  • Strong organizational, analytical, project management, communication, and initiative skills.
  • Strong attention to detail and ability to manage multiple priorities.
  • May require experience performing work under relevant sections of the Code of Federal Regulations or other applicable regulatory requirements.

Preferred Qualifications

  • Experience supporting records management programs within a government contractor, research institution, laboratory, university, or other regulated environment.
  • Experience managing enterprise records disposition projects.
  • Knowledge of records management standards, regulations, and related recordkeeping requirements, which may include:
