Part-Time Administrative Assistant / Client Services Associate

Location: Monument, CO
Schedule: Monday–Friday, 9:00 AM–2:00 PM, onsite - 25 hours a week
Employment Type: Temp-to-Perm
Contract Duration: Approximately 6 months with opportunity for permanent hire

Position Overview

We are seeking a highly organized and detail-oriented Administrative Assistant / Client Services Associate to support a financial advisor and help manage the day-to-day administrative and operational needs of the practice.

This is a part-time, onsite position ideal for someone who is dependable, professional, and comfortable working with confidential client and financial information. The successful candidate will play an important role in keeping the office organized, maintaining accurate client records, coordinating paperwork, and ensuring outstanding operational items are completed in a timely manner.

Key ResponsibilitiesAdministrative & Client Support
  • Manage calendars, appointments, and day-to-day scheduling.

  • Maintain accurate and up-to-date client records within the CRM.

  • Organize and maintain digital files, client documentation, and internal records.

  • Assist with preparing, scanning, uploading, and processing client documents.

  • Coordinate electronic signatures and follow up on outstanding documentation.

  • Communicate and coordinate with custodians, vendors, and internal partners as needed.

  • Assist with special projects and other operational initiatives.

  • Provide general administrative support to the financial advisor and practice.

Operations & Compliance
  • Ensure client paperwork is completed and processed accurately and in a timely manner.

  • Monitor account transfers, paperwork, and other outstanding items through completion.

  • Follow up with appropriate parties to resolve missing information or documentation.

  • Maintain a high level of confidentiality and handle sensitive client information with discretion.

  • Assist with maintaining records and administrative processes in accordance with firm standards and applicable industry regulations.

  • Help ensure client files and documentation remain organized, accurate, and audit-ready.

Qualifications
  • Previous administrative, office support, client service, or operations experience required.

  • Experience within financial services, wealth management, banking, insurance, or another regulated industry is preferred.

  • Strong organizational skills and exceptional attention to detail.

  • Ability to manage multiple priorities and follow tasks through to completion.

  • Comfortable learning and working within CRM and document management systems.

  • Professional demeanor and ability to interact effectively with clients and business partners.

  • High level of discretion when handling confidential and sensitive information.

  • Proficiency with Microsoft Office, including Outlook, Word, and Excel.
