Job description

QUALIFICATIONS:
  1. Minimum two-year Associates Degree in Business Management or related field and/or equivalent experience.
  2. Demonstrated record of successful employment as a secretary.
  3. Demonstrated Skills in the following: Construct/Compose a Business Letter, Edit/Correct a Business Letter, Excel with Mail Merge, Access, Typing (45 WPM), Google Documents, Google Calendar.
  4. Knowledge of the following: general office practices, PowerSchool, Red Rover, photocopying, scanning, and email.
  5. Ability to communicate with the public in a positive and professional manner including confidentiality.
  6. Ability to work without close supervision.
  7. Ability to perform accurate detail work.
  8. Willingness to attend seminars and workshops to help with the successful operation of the departments.
JOB GOAL: To assist the Director of Disability Services in the daily operation of the department by maintaining the needs, goals, and interests of the school district, students, parents, and/or general public.
RESPONSIBILITIES:
General
  1. Act as liaison between the director, staff, students, parents, general public and school related agencies.
  2. Create, distribute and update departmental forms, district forms and provide communication to staff, students and the public.
  3. Perform normal secretarial duties, i.e. answering phones, correspondence, greeting public
  4. Contact company for office machine service
  5. Maintain the binder of the annual operating procedures.
  6. Provide assistance with duties pertaining to the Student Support Services Secretary Level V.
  7. Responsible to enter personal absences and clock in/out via the Red Rover System.
  8. Responsible to check your district email account on a regular basis, and to communicate as needed via email.
  9. Perform such other tasks and assume such other responsibilities, from administration, as necessary for the successful operation of the department.
Special Education
  1. Maintain in office special education files for identified students with disabilities.
  • EMIS information
  • Proactive tracking of IDEA timelines
  • Notification of overdue IEPs to Intervention Specialist, Psychologist, Speech Therapist
  1. Obtain and organize pertinent data needed for state and or federal funding such as child count; blind report, vision screening; ELA; etc.
  2. Organize and distribute re-evaluation folders to psychologist, update database and file when completed.
  3. Work with Student Services secretary to verify enrollment documents (Evaluation/IEP) for accurate dates and signatures.
  4. Enroll non-public, Autism Scholarship and Jon Peterson Scholarship students. Create file and maintain.
  5. Manage Same Goal/IEP Anywhere; liaison between intervention specialist; related services; and administration. Set up accounts and troubleshooting.
  6. Maintain psych files- update database; file reports; consolidate graduates and over 22-year-old.
  7. Process request for records from outside agencies i.e. Social Security, Courts and Law offices. Send current evaluation and IEP only if release of records is provided.
  8. Process request for records from other districts. Check file for current evaluation and IEP.
  9. Track court placed students and required district notifications.
EMIS
  1. Correct special education errors when sent from EMIS coordinator
  2. Use Crosscheck system to correct errors within Powerschool student programs
  3. Maintain ODDEX pages for court placed students in Sylvania Schools.
  4. Assist preschool coordinator with ELA report twice a year.
  5. Collaborate with the Director, Treasurer, EMIS and transportation to collect information and process for Excess Cost (court placed students) including sending contracts; filing with Area Coordinator (annually).
  6. Collaborate with the Director, Treasurer, EMIS and transportation to collect and process information for Catastrophic Cost (Sylvania Students) file with Area Coordinator.
Preschool
  1. Distribute all preschool enrollment packets- special needs and typical students.
  2. Enroll all preschoolers with disabilities and typical students.
  3. Collect monthly payments for typical students
  4. Maintain database of medical forms; send reminders to parents of due date.
  5. Coordinate with preschool psychologist evaluation database; email evaluation request packet to families (cold calls). Update database when report is completed.
Advanced Placement Screening
  1. Maintain database of request for Advanced Placement.
  2. Email packet to families that have submitted a request.
  3. Set up screening schedule with school psychologist.
  4. Contact families that returned the packet to schedule an appointment
  5. Email results to families.
