Purpose:

The purpose of this role is to provide various levels of support, utilizing Ravago’s proprietary Document Management System (DMS), to ensure the successful and efficient activities of the Purchasing and Procurement needs of the organization. This position is responsible for ensuring all aspects of the DMS are accurate and efficient.

Areas of Responsibility / Tasks:

Performance must reflect appropriate level of expertise and achievement of the desired results for the items listed below.   

1. Administrative

1. Responsible for collecting Certificate of Analysis (COA) and Certificate of Origin (COO)/Free Trade Agreements (FTA) from vendors via electronic file and ensuring these documents are organized and archived for future reference and distribution
2. Responsible for the creation of unique documentation based on information as provided by the vendors
3. Review and processes the receipt, qualification and fulfillment of customer requests for certifications and other necessary documents in an accurate and timely manner
4. Review DMS reports and proactively request missing documentation from appropriate vendors
5. Verify Backup Documentation is received per requests and ensuring applicable Backup Documentation is deemed necessary in order to fulfill requests
6. Participate in supporting the continued development of Ravago’s DMS and present opportunities for improvement when applicable
7. Actively participates in daily management meetings to measure and take actions on metrics/KPI’s  

1. Transactional/Data Integrity

1. Track data in spreadsheets and produce reports with analysis on a quarterly basis or as requested by leadership
2. Process daily open Jobbing reports to ensure completion dates are confirmed by warehouses and ensuring the appropriate member of the Customer Service team updates the sales order dates accordingly
3. Responsible for the tracking and tracing of Rail Cars (RC) inbound to warehouses to ensure there are no significant delays during transit and reviewing RC’s placed at warehouses and at customer locations to prevent detention and demurrage charges from suppliers

1. Back Up Support

1. May serve as a back-up to other purchasing support team members at the same or above level as needed

1. Proven communication and interpersonal skills (verbal and written) and ability to establish relationships and collaborate among other teams
2. Ability to quickly learn, detailed oriented with an ability to prioritize          
3. Proficiency in MS Excel, Word and Adobe/Nitro file creation and management
4. Manage and organize time, information and resources effectively using SharePoint and Outlook to meet deadlines and respond to requests on a timely basis

Minimum Qualifications / Education / Experience / Certifications:

1. Education:
   1. Bachelor’s degree in Business, Supply Chain or related field preferred.  Equivalent experience considered in lieu of degree
2. Experience:
   1. 0-2 years of previous experience in a similar role preferred
   2. Experience with Purchasing, Supply Chain or a related field is highly desired
3. Licenses / Certifications:
   1. Valid driver’s license – required
4. Language:
   1. Proficiency in English required

The work environment/conditions described herein are representative of those that an incumbent may experience, and therefore

1. Must be adaptable to work in a shared space, with constant noise, with/or without the use of a private office.
2. This position is a hybrid in-office and work-from-home role
3. May be required to travel to office locations in the USA as well as other countries based on the businesses involved in e-commerce sales

3. While performing the duties of this job, the incumbent is regularly required to travel by foot, car, bus, airplane, or other means of transportation which require sitting, waiting, and standing for long and short periods of time.
4. Ability to setup desk equipment including setting up equipment on top of desks and connecting cables and power cords under desk (requiring lifting, bending, pushing, pulling).
