Job description

Raineri Construction is seeking a self-motivated, highly organized individual to serve as a Pre-construction Administrator. The starting salary range for this full-time position is 50K, negotiable based onexperience.

Based in St. Louis, the company has grown each year since its inception in 2003 and currently employs more than 100 employees.

Job Summary:


The Preconstruction Administrator is responsible for aggregating, preparing, and delivering all documents, bonds, and forms required to submit a comprehensive and responsive bid package. This is accomplished by using accurate, organized, and methodical practices from project inception through bid day and post-bid follow-up. Communication with internal and external stakeholders is vital to success.


KeyResponsibilitiesinclude, but are not limited to:


  • Project setup: Create system files for new projects.
  • Download project documents and aggregate in appropriate folders.
  • Extract, ascertain requirements, and prepare bidding documents from specifications/ITBs.
  • Create/modify calendar appointments for all pre-bid meetings, bid dates, and other necessary pre-construction meetings.
  • Convert bid forms and SOVs to spreadsheets, then upload them to Estimating software.
  • Modify or create fillable forms, acquire signatures on bidding documents due on bid day, and distribute them to subcontractors who must return them on bid day.
  • Apply for and track all bid bonds on project bidding.
  • Register Raineri on all plan holder lists at project Plan Rooms (EPlan, Dodge, Municipal, Architect/Engineers, etc.)
  • Monitor Plan Rooms for project updates (Addenda, RFI responses, clarifications, etc.).
  • Download documents to the system files, revise forms as needed, and notify the Estimator of changes.
  • Maintain and update the bid log when revisions are made.
  • Register, upload, and maintain qualifications on all online bid portals.
  • Assist in subcontractor engagement and new recruitment.
  • Coordinate and prepare all necessary insurance, bonding, and bid packages.
  • Prepare and update marketing and organizational biography materials as needed for business development and bidding requirements.
  • Set up new vendors in bid invitation software and periodically update contact information.
  • Coordinates with Estimators to advise on project requirements, notify of revisions, and to populate all required bidding forms.
  • Responsible for the acquisition and delivery of all required bidding documents to submit a responsive and responsible bid package.


Required Education/Experience:

  • Associate's Degree, construction-related OR
  • 2 years'+ experience in construction administration


Required Skills:

  • Advanced proficiency in computer operations and a variety of software applications.
  • Intermediate to Advanced proficiency in using Microsoft 365 applications & Adobe Acrobat specifically.
  • Strong written and oral communication skills.
  • Self-motivated, deadline-driven, and highly organized.
  • Flexible and adaptable to changing situations.
  • Problem solver with an ability to work independently
  • Effective listener with the ability to understand the needs of employees and both internal and external clients.
  • Work cooperatively with others and offer assistance to others in your area.
