The Opportunity
The Project Administrator supports the Project Manager and project team with the daily administration and processing that keep projects on schedule and on budget - spanning contracting, procurement, payment processing, and contract administration. You own the documentation and financial processing that keep the project running smoothly behind the scenes.
What You'll Do
Contract & Document Administration
  • Manage submittal packages and obtain shop drawings, product data, and samples per the contract documents.
  • Assist the PM with preparing and writing contracts and purchase orders, and with processing RFIs.
  • Record and monitor the Notice of Commencement, bonds, and Builders Risk policies.
  • Verify and maintain subcontractor compliance, including insurance coverage, licenses, and permits.
  • Issue subcontractor change orders and purchase orders once the owner has signed a PCCO.

Financials & Procurement
  • Process invoices and subcontractor pay applications in Timberscan and enter team timesheets in Procore.
  • Assist with monthly applications for payment and follow up on routing and scheduled payments.
  • Enter Potential Change Orders in Procore for PM review and manage the Owner Direct Purchase Program.
  • Distribute procurement information to the PM and appropriate parties to expedite the project, flagging delays immediately.
  • Support the PM and preconstruction team with estimating, plan distribution, subcontractor database, and GMP preparation.

Coordination & Closeout
  • Record, input, and distribute meeting minutes in Procore and copy/distribute plans to trade partners and vendors with discretion.
  • Set up the PM's binder, Procore project, permit log binder, and Superintendent files at job start, and assist with jobsite setup.
  • Coordinate with the Superintendent to track the rolling punch list, and compile the Owner's Maintenance Manual at completion.

What You Bring to the Role
Experience & Education
  • Bachelor's degree or a minimum of 5 years of relevant experience required.

Certifications & Licenses
  • Reliable transportation and a valid Florida driver's license.

Skills & Attributes
  • Proficient with Microsoft Office; experience with Procore, Bluebeam, and Timberscan a plus.
  • Highly organized, detail-oriented, and dependable with sensitive project documentation.

  • Occasionally visits active construction sites and may be exposed to weather, noise, dust, and machinery.

  • Occasionally lifts, pushes, pulls, or carries up to 50 pounds; regularly up to 25 pounds.
  • Requires close and distance vision, depth perception, and the ability to adjust focus.
  • Requires the ability to communicate clearly and hear conversations in person and by phone.
