Key responsibilities

Pay: $180,000.00 - $225,000.00 per year

Location: Newport Beach, CA. This is an in-office leadership position Monday through Thursday, with the flexibility to work from home on Fridays.

Note: Candidates must have 5+ years of operations experience within an RIA, wealth management firm, or family office and 2+ years of hands-on Addepar administration experience. People management, wealth management technology/systems ownership, and cross-functional project/vendor management experience are also required.

Job Description

  • Partner closely with the current COO as part of a structured leadership succession and knowledge-transfer process.
  • Own and optimize the firm's wealth management technology ecosystem, including Addepar, Salesforce, Orion, RedBlack, eMoney, Broadridge/ProxyEdge, and Schwab Institutional.
  • Serve as the firm's primary Addepar administrator and power user, overseeing data accuracy, reporting, configuration, integrations, and client-facing outputs.
  • Manage relationships with technology vendors and consultants, including licensing, pricing, upgrades, troubleshooting, and ongoing service.
  • Identify and implement opportunities to improve workflows through automation, AI, and technology integration.
  • Directly manage operations, accounting, and administrative employees, with responsibility expanding over time.
  • Participate in hiring, onboarding, coaching, performance management, and employee development.
  • Lead cross-functional projects from planning through completion, including technology rollouts, training, vendor transitions, and operational improvements.
  • Build project timelines, budgets, priorities, and status reporting for firm leadership.
  • Manage external vendors and contractors across operational, facilities, marketing, and administrative initiatives.
  • Support HR administration, benefits coordination, office operations, and compliance-related processes.
  • Gradually assume broader decision-making authority and firm-wide operational ownership in preparation for the COO role.
  • Develop strong relationships with employees, vendors, industry contacts, and other key stakeholders.
  • Help senior leadership translate the firm's strategic priorities into effective operational execution.

Qualifications

  • 5+ years of operations, business operations, or systems leadership experience within an RIA, wealth management firm, or family office.
  • 2+ years of hands-on Addepar administration experience, including data management, reporting, configuration, troubleshooting, and system ownership.
  • People management experience is required.
  • Wealth management technology stack or business systems ownership experience is required.
  • Cross-functional project and vendor management experience is required.
  • Strong ability to manage multiple systems, priorities, stakeholders, and projects simultaneously.
  • Excellent organizational skills, attention to detail, judgment, discretion, and communication.
  • Experience with Salesforce, Orion, RedBlack, eMoney, Broadridge, Schwab Institutional, or similar platforms is a plus.
  • RIA regulatory and compliance experience is a plus.
  • Bachelor's degree and credentials such as CFA, CFP, or PMP are welcomed but not required.
