Job description

Ludvik Electric Co. is seeking a full-time Administrative Assistant
 at our Phoenix, AZ office.
This position will be based onsite at a construction project 
located approximately 30 minutes north of downtown Phoenix.
All applicants must successfully complete a
criminal history background check.

SUMMARY

Keep project operations organized, accurate, and moving forward while working closely with Project Management staff, field teams, and office leadership. The ideal candidate is dependable, detail-oriented, comfortable in a job-site environment—including wearing a hard hat when required—and eager to learn new tools, processes, and software.

 
ROLE AND RESPONSIBILITIES

  • Follow direction from the Senior Project Manager and Project Coordinator for task assignments, and from the V.P. of Operations regarding policies and procedures.
  • Operate general office equipment, including printers, copiers, scanners, and similar machines.
  • Create, compose, and edit written materials from rough drafts to final form, using proper spelling, punctuation, grammar, construction terminology, and document formats.
  • Establish, maintain, process, and/or oversee files, correspondence, and other project-related documents according to company policy.
  • Assist with billing issues.
  • Perform routine administrative tasks as assigned, including transmittals, shipping, package slips, daily reports, panel schedules, labeling, laminating, and coordinating supply order lists.
  • Complete and assemble operations and maintenance manuals.
  • Greet and direct visitors, answer incoming calls, check call-ins, send email notifications, and provide information to callers and visitors.
  • Order and pick up lunches as needed.
  • Maintain manpower lists and magnetic name tags.
  • Seek additional responsibility and take independent action.
