    Job description

    Division Coordinator – Electrical Contractor

    Lighting Maintenance, Inc. is seeking a highly organized and proactive Division Coordinator to support our Maryland electrical operations, with a primary focus on our Maryland State Highway Administration (MD SHA) contracts.

    This is not a passive administrative position. We need someone who takes ownership, stays organized under pressure, communicates professionally, and follows things through to completion. Just as important, we want someone who brings a positive, upbeat, “let’s get it done” attitude to the team and helps keep things moving even when the day gets hectic.

    You will be a key connection between field crews, foremen, managers, MD SHA representatives and inspectors, subcontractors, vendors, and internal departments. Your responsibility is to keep work moving, documentation accurate, billing current, and everyone informed.


    What You'll Do

    • Coordinate daily and weekly schedules for electrical crews
    • Track active jobs, work orders, priorities, deadlines, and completion status
    • Communicate with MD SHA representatives, inspectors, field personnel, and management
    • Help the manager ensure crews have the information, materials, equipment, and resources needed for scheduled work
    • Collect and review daily reports, tickets, photos, work orders, labor, equipment, materials, and other job documentation
    • Prepare and process billing for completed work, ensuring invoices have accurate quantities, labor, equipment, materials, descriptions, and required supporting documentation
    • Track unbilled work and proactively resolve missing information so billing stays current
    • Review job costs and identify discrepancies that need to be addressed
    • Coordinate with Accounting regarding invoice processing, corrections, and customer requirements
    • Assist with subcontractors, traffic control, inspections, materials, equipment, and other operational needs
    • Maintain organized MD SHA contract and project records
    • Identify scheduling conflicts, missing documentation, billing issues, and potential problems before they impact the operation
    • Support management with reporting, backlog, job costing, and overall division workflow


    What We're Looking For

    • Intermediate billing experience is required, preferably within construction, electrical contracting, field service, or a similar project-based environment
    • Experience coordinating field service, construction, electrical, utility, or roadway operations strongly preferred
    • Strong organizational skills with the ability to manage multiple jobs and priorities simultaneously
    • Strong follow-through — you don't wait to be reminded about outstanding items
    • Professional communication skills with customers, inspectors, field employees, and management
    • Comfortable reviewing labor, materials, equipment, job documentation, and billing backup
    • Ability to recognize problems, ask the right questions, and drive items toward resolution
    • Comfortable working in a fast-moving environment where priorities can change throughout the day
    • A positive, energetic attitude and a willingness to jump in, help the team, and find a way to get things done
    • Strong computer skills and ability to learn new systems

    Our primary systems will include BuildOps and Sage. Previous experience with either system is preferred but not required. Experience with similar construction management, field service, ERP, accounting, or billing software is also valuable.
