Responsibilities

• Serve as the first point of contact for clients, visitors, and employees via phone, email, and virtual communication platforms.
• Manage and coordinate incoming inquiries and direct them to the appropriate departments in a timely manner.
• Schedule and confirm appointments, meetings, and virtual conferences efficiently.
• Maintain accurate records of communications, appointments, and client information using company systems.
• Assist with administrative tasks such as document preparation, data entry, and file management remotely.
• Monitor and respond to messages on the company's communication channels to ensure no queries are overlooked.
• Collaborate with internal teams to support daily operational needs and foster excellent client relationships.
• Ensure confidentiality and professionalism in all communications and interactions.

Requirements

• Proven experience as a front desk coordinator, receptionist, or similar administrative role, preferably in a remote setting.
• Strong communication skills, both verbal and written, with a professional and friendly demeanor.
• Excellent organizational and multitasking abilities to manage various tasks simultaneously.
• Proficiency with virtual communication tools such as Zoom, Microsoft Teams, or Slack.
• Familiarity with scheduling software and customer management systems.
• High level of computer literacy including proficiency in Microsoft Office Suite and Google Workspace.
• Ability to work independently, manage time effectively, and maintain a high standard of accuracy.
• Reliable internet connection and a dedicated workspace to perform duties remotely.
