    About the Role 

    Burson is looking for an organized, versatile, and proactive Administrative Assistant to oversee the day-to-day operations of the Ottawa office and provide key administrative and operational support to the team. This role also includes direct support to local leadership while contributing to employee experience and office culture. 

    This position plays a central role in ensuring the smooth operation of the office, welcoming clients, organizing internal events, coordinating administrative activities, and supporting teams across the business.

    RESPONSIBILITIES 

    • Office Management and Reception
    • Oversee the daily operations of the Ottawa office
    • Welcome clients and visitors
    • Manage incoming and outgoing mail and deliveries
    • Ensure conference rooms remain organized and fully functional
    • Maintain internal office lists and directories (phone extensions, contacts, etc.)
    • Coordination and Logistics
    • Manage calendars and meeting room bookings
    • Coordinate catering services and technical support for meetings
    • Organize business travel arrangements
    • Act as a liaison with other Burson offices across Canada 

    Events and Office Culture 

    • Plan and coordinate internal events and office activities
    • Provide logistical support for client events
    • Contribute to a positive employee experience and office culture
    • Administrative, Financial, and Operational Support
    • Provide administrative support to teams and consultants
    • Support local leadership with scheduling, coordination, and administrative follow-up
    • Assist with invoicing follow-up and basic accounting tasks
    • Create, review, and format documents in line with Burson brand standards
    • Manage filing systems and databases
    • Onboarding and HR Support
    • Coordinate onboarding and integration for new employees
    • Serve as a point of contact for new hires in the office
    • IT Support
    • Provide basic IT support and coordinate with IT teams when needed 

    PROFESSIONAL QUALIFICATIONS 

    • Excellent communication and interpersonal skills
    • Strong organizational skills and attention to detail
    • Ability to manage multiple priorities in a fast-paced environment
    • Self-motivated, detail-oriented, and proactive
    • Ability to work collaboratively within a team
    • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel) and Outlook
    • Ability to work under tight deadlines
    • Experience in customer service, office management, or administrative support is considered an asset
    • Bilingualism in French and English is preferred
    • University or college degree considered an asset
