    Job Title: AI Program Coordinator

    Location(s): Chantilly, VA

    Job Summary:

    We are seeking an organized, technically fluent AI Program Coordinator to support our AI initiatives based in Chantilly, VA. This role partners with program managers, engineering teams, product owners, and stakeholders to coordinate delivery, manage schedules and documentation, track KPIs, and help operationalize AI models and pilots. Ideal candidates have 3–5 years’ program or project coordination experience in technology settings, familiarity with AI/ML concepts, and strong stakeholder communication skills.

    Key Responsibilities:
    • Coordinate day-to-day program activities for multiple AI projects, maintaining project plans, timelines, and milestone tracking.
    • Facilitate cross-functional meetings (standups, working groups, steering committees), prepare agendas, capture notes, and track action items to closure.
    • Maintain centralized program documentation: roadmaps, requirements, runbooks, model inventories, data lineage logs, and risk registers.
    • Support intake and prioritization of AI requests, assist with scoping, and route work to appropriate engineering or data science teams.
    • Monitor program KPIs and SLAs (model performance checkpoints, deployment cadence, incident response), create weekly/monthly status reports and dashboards for stakeholders.
    • Assist with compliance and governance tasks: collecting model documentation for audits, tracking approvals, and ensuring adherence to data privacy and security policies.
    • Coordinate pilot and production deployments: schedule testing windows, manage release checklists, and liaise with DevOps/ML Ops teams.
    • Track budgets and procurement items related to third-party AI tools, cloud spend, and consultant engagements.
    • Identify process improvements and help operationalize best practices (runbooks, handoffs, postmortems).
    • Support stakeholder communication: prepare executive summaries, slide decks, and meeting materials.
    Required Qualifications:
    • 3 years’ experience in program/project coordination or program management in tech, data, or AI-related environments.
    • Familiarity with AI/ML terminology, development lifecycle, and basic model governance concepts.
    • Strong organizational skills with experience using project management tools (Jira, Asana, MS Project, or equivalent).
    • Proficiency with Excel/Google Sheets and presentation tools (PowerPoint/Google Slides); experience building simple dashboards (Power BI, Tableau, or Looker) a plus.
    • Excellent written and verbal communication; proven ability to synthesize technical details for non-technical stakeholders.
