About the Role:
As a Mail Services Sr. Coordinator, you will assist with providing administrave support to a large
team or department. This job is part of the Office Operaons funcon.
They are responsible for
providing office support to a client, business funcon, or individual contributor.
What You'll Do:
- Ensure that all packages received and delivered arrive the same day or advise the consignee of next-day
arrival.
- Bring mail, packages, copy products, and staonery to assigned groups or locaons as per the daily
schedule.
- Ensure all shipped packages are protected against damage.
- Apply appropriate postage amounts and required idenficaon to outgoing mail and packages.
- Stock copy rooms and provide first communicaon for copier fleet producon.
- Check daily and replenish, if necessary, all mail and postage supplies.
- Answer common inquiries or complaints from clients, co-workers, and/or supervisors and effecvely
present informaon to an internal group.
- Use exisng procedures to solve straighorward problems while having a limited opportunity to
exercise discreon.
- Impact through clearly defined dues, methods, and tasks are described in detail.
- Deliver own output by following defined procedures and processes under close supervision and
guidance.
- Assist concierge in general clerical dues. This includes tracking packages, posng mail, arranging
messenger services, and providing notary services.
- Schedule and coordinate on-site meengs. This includes reserving mulple conference rooms, ordering
equipment, and coordinang catering needs.
- Perform administrave dues specific to the department such as conducng research, updang
databases, and preparing collateral materials for mass mailings.
- Receive and direct incoming calls and visitors to appropriate personnel.
- Oversee opening, sorng, priorizing, and distribung inbound mail.
- Coordinate services for outbound mail.
- Understand work rounes and standards and apply skills and knowledge in a range of processes,
procedures, and systems.
- Dra reports and correspondence; Answer common inquiries or complaints from clients, co-workers,
and/or supervisors.
- Recognize and solve typical and atypical problems that can occur in own work area without supervisory
approval.
- Evaluate and select soluons from established opons.
- Impact team through the quality of the services or informaon provided.
- Follow standardized procedures and pracces and receive regular but moderate supervision and
guidance.
What You'll Need:
- High School Diploma or GED with 2-3 years of job-related experience.
- An established understanding of work rounes and standards and applying skills and knowledge in a
range of processes, procedures, and systems are required.
- Ability to explain detailed and complicated informaon within the team in a clear and concise manner.
- Advanced knowledge of Microso Office products
Examples include Word, Excel, Outlook, etc.
- Strong organizaonal skills with a robust inquisive mindset.
- General math skills. Ability to calculate advanced figures such as percentages, discounts, and markups.
- Excellent communicaon skills to exchange straighorward and complex informaon.
- Ability to follow basic work rounes and standards in the applicaon of work.
