Job description

The Events Liaison will primarily oversee venue rentals for internal and external event clients in collaboration with the Events & Celebrations Team. This position will also oversee onsite special events at both zoo campuses, working closely with the Special Events Manager, Director of Events & Celebrations, and departmental event coordinators to ensure seamless event execution and exceptional guest experiences.
The Events Liaison will collaborate with venue clients, caterers, vendors, guests, internal departments, and other key stakeholders to deliver outstanding customer service and ensure the successful planning and execution of each event. Responsibilities include enforcing facility rules and regulations, coordinating audiovisual and event support needs, facilitating cross-departmental communication, assisting with event logistics, overseeing onsite event operations, troubleshooting issues as they arise, and securing event venues at the conclusion of each event.
This role serves as a key onsite representative for the Events & Celebrations Team, ensuring that events are executed safely, efficiently, and in accordance with organizational standards, while maintaining strong communication and coordination among clients, vendors, and internal departments.
Essential Duties:
  • Successfully interacts and serves as point-of-contact for internal and external clients, caterers, wedding/event planners, vendors, guests and events set up and break down staff to ensure excellent and high-quality guest experiences at Zoo New England (Franklin Park Zoo & Stone Zoo)
  • Maintains a welcoming environment and demeanor while servicing guests in person
  • Actively engage and respond promptly to venue clients, vendors and guests along with communicating their concerns to the Events and Celebrations Director
  • Oversees vendor set up, teardown and cleanup of event spaces
  • Sets up the event per the client's specification and maintains event spaces throughout the event
  • Ensures total compliance with Zoo New England's contracts, rules and regulations
  • Effectively anticipate and respond promptly to the needs of all guests and vendors
  • Responsible for executing the event and securing the building at the end of events
  • Manages multiple events at once
  • Must be dependable, able to work independently at both zoo locations (Franklin Park Zoo & Stone Zoo)
  • Successfully communicates with a diverse group of stakeholders, visitors and patrons
  • Perform other duties as assigned by Events and Celebrations Director

Minimum Job Requirements:
  • Must be able to work weekends and evenings
  • Must be able to work at both Franklin Park Zoo & Stone Zoo
  • Must be flexible. Majority weekends. Hours will change from week to week with the average timeframe between 8 a.m. to 6 p.m. or 6 p.m. to 11pm with flexibility. The actual schedule will be based upon Zoo New England's events and administrative needs.
  • 1 year customer service work experience
  • Excellent communication skills
  • Exceptional Interpersonal Skills and ability to work with diverse populations
  • Must have good organizational, analytical, and coordinating abilities
  • Ability to work as part of a team and independently
  • Excellent problem-solving abilities
  • Attention to detail, must be able to manage several projects at one time
  • Must be creative and able to prioritize tasks in the face of many challenges
  • Valid Driver's License
  • Ability to lift 30 pounds
