Accounting & Administrative Coordinator

$25.00-$30.00 per hour, based on experience
Position Overview
Zibiz Corporation, an established technology company located in Hauppauge, NY, is seeking an Accounting & Administrative Coordinator to join our team.
We are looking for someone with experience in Accounts Receivable, Accounts Payable, billing and general accounting administration who is also comfortable supporting order processing, customers, vendors and day-to-day business operations.
This is not a narrowly defined accounting position. You will have visibility into multiple areas of the business and work directly with management and other team members.

Primary Responsibilities
Accounts Receivable & Billing
• Prepare and submit customer invoices
• Maintain customer account and billing information
• Process customer payments and credit card transactions
• Prepare and send customer statements
• Research and resolve invoice and payment discrepancies
• Follow up on outstanding receivables as needed
• Maintain accurate supporting documentation
Accounts Payable & Purchasing
• Assist with processing vendor invoices
• Review invoices and purchasing documentation for accuracy
• Assist with purchase order processing
• Communicate with vendors regarding invoices, orders and payments
• Research and resolve AP discrepancies
• Maintain organized vendor records
ERP & Order Processing
• Enter and process customer sales orders
• Enter purchase orders and related transactions
• Process online/web orders
• Maintain accurate customer, vendor and transaction information in our ERP system
• Review transactions for completeness and accuracy
• Prepare reports and spreadsheets as needed
Administrative & Customer Support
• Communicate professionally with customers and vendors
• Respond to routine billing, order and account questions
• Prepare business correspondence and emails
• Assist with timesheet administration and recordkeeping
• Support management with administrative projects and reporting
Qualifications
• 2+ years of Accounts Receivable, Accounts Payable, billing, bookkeeping or related accounting support experience preferred
• Experience processing invoices and payments
• Strong numerical aptitude and attention to detail
• Proficiency with Microsoft Excel and Word
• Experience with ERP or accounting software preferred
• Excellent organizational skills
• Strong written and verbal communication
• Ability to research and resolve discrepancies independently
• Dependable and comfortable taking ownership of assigned responsibilities
• Ability to work effectively in a small-team environment
Associate's or Bachelor's degree in Accounting, Business, Finance or a related field preferred; equivalent professional experience will also be considered.
Compensation & Benefits
$25.00-$30.00 per hour, depending on experience and qualifications.
