Job description

Job Title: Administrative Assistant/Coordinator
  • Employee Type: Regular Full Time
  • Location: Hauppauge, NY
  • Degree Type: 4 year college degree
  • Experience: Customer Service & Accounts-Payable/Accounts-Receivable experience a plus. Compensation based on experience.
  • Required Skills: Excellent oral and written communication. Strong organizational and multi-tasking skills.
  • Preferred Skills: Computer Skills (MS Excel, MS Word), basic mathematical skills

Responsibilities Include:
1. Finances
  • Perform basic accounting duties, such as receivables/payables/ credit for billing
  • Submit Invoices/ AR statements / Billing
  • Research and resolve situations that require troubleshooting for Accounts Payable and Billing
  • Payment & Credit Card processing
  • Report preparation

2. Data Entry
  • Purchase, Sales and Web order entry and processing
  • Accurate Data entry into ERP system
  • Timesheet management

3. Customer & Vendor communications
  • Answering and directing phone calls, strong communication skills required
  • Compose and type routine correspondence (email)
  • Assist with other accounting / admin processes as needed
