Salary: $600/month

AV Lead

Department: Logistics, Programs Team
Reports to: Programs Manager
Compensation: $600 monthly stipend
Travel: Required for all PlantCon events


About the Role

PlantCon International is seeking a dependable, tech-savvy AV Lead to support the audiovisual needs of our presentations, workshops, DJ stage, and other live programming.


The AV Lead assists with AV planning, equipment setup, live troubleshooting, and breakdown. This role is ideal for someone who is organized, calm under pressure, comfortable working with technology, and able to respond quickly when issues arise during a live event.


Key Responsibilities

  • Prepare for the AV needs of presentations, workshops, panels, DJ programming, and other assigned activities.
  • Set up, test, operate, troubleshoot, and break down projectors, laptops, microphones, mixers, transmitters, silent-disco headsets, LED-screen components, and related equipment.
  • Use NovaStar software to configure and support PlantCons modular LED display.
  • Complete equipment checks before programming begins.
  • Provide onsite technical support to presenters, workshop hosts, DJs, and volunteers.
  • Coordinate AV needs and schedules with the Programs Manager and other event teams.
  • Track and report missing, damaged, or malfunctioning equipment.
  • Create and update AV setup instructions, troubleshooting guides, and volunteer training materials between events.


Required Qualifications

  • Experience setting up, operating, or troubleshooting audiovisual equipment.
  • Experience with projectors, laptops, audio mixers, wireless or headset microphones, transmitters, LED displays, or comparable equipment.
  • Familiarity with NovaStar or similar LED-display software.
  • Strong technical troubleshooting, organization, and problem-solving skills.
  • Ability to follow detailed programming schedules and manage multiple priorities.
  • Ability to remain professional and solutions-focused in a fast-paced live-event environment.
  • Ability to collaborate across teams and communicate technical information clearly.
  • Working knowledge of, or willingness to learn, Discord, Notion, Gmail, Google Calendar, Google Docs, and Google Sheets.
  • Ability to stand or move throughout the venue for extended periods and lift up to 25 pounds, with or without reasonable accommodation.
  • Ability to assemble and break down PlantCons 24-panel Mirackle LED display.
  • Ability to meet deadlines while managing AV preparation for multiple events.
  • Additional travel for networking or other PlantCon activities may occasionally be requested.


Preferred Qualifications

  • Experience supporting conventions, conferences, festivals, performances, or other live events.
  • Experience supporting presentations, workshops, panels, DJs, or stage programming.
  • Experience assembling and operating modular LED displays.
  • Experience creating technical guides or training volunteers.


Physical and Onsite Expectations

This position requires the ability to:

  • Stand and move throughout the venue for extended periods.
  • Bend, reach, crouch, and assist with equipment setup and breakdown.
  • Lift and carry equipment weighing up to 25 pounds, with or without reasonable accommodation.
  • Work extended or nontraditional hours during event weeks, including early mornings, evenings, and weekends.
  • Work in an active convention environment with crowds, amplified sound, lighting, and changing priorities.


Meetings and Time Commitment

This role generally requires approximately five hours per week between events. Event and travel weeks require a significantly greater time commitment, including setup, live programming, troubleshooting, and breakdown. Event schedules may include early mornings, evenings, and weekends.

Required weekly meetings are:

  • Monday, 4:005:00 p.m. Central: All-Team PlantCon Meeting
  • Wednesday, 6:307:30 p.m. Central: Logistics Department Meeting

The AV Lead may occasionally attend the Wednesday Programs Team Huddle from 7:308:00 p.m. Central.


Compensation

This position currently provides a stipend of $600 per month.


Travel Requirements

Travel to all PlantCon events is required. Leads may be expected to arrive as early as the Tuesday before an event weekend and depart the following Monday or Tuesday.

    Expected travel dates: October 1520, 2026
  • Dallas: October 2425
    Expected travel dates: October 2226, 2026
  • Atlanta: December 56
    Expected travel dates: December 37, 2026


PlantCon arranges approved event travel and shared hotel accommodations in accordance with its travel policies. Lodging is typically shared, and team members may be assigned to shared rooms and, in some cases, shared beds depending on availability and event logistics. Team members requesting private accommodations may be responsible for the additional cost. Rental vehicles and rideshare expenses are not currently covered unless authorized in advance.
