Job description

We are seeking a friendly, organized, and dependable Front Office Manager to be the welcoming face of our chiropractic and wellness clinic. This role is ideal for someone who enjoys working directly with patients, is comfortable in a fast-paced healthcare environment, and can confidently manage both administrative responsibilities and patient relationships.

Our clinic provides chiropractic, rehabilitation, and wellness services, including care for auto injury patients. The Front Office Manager will play an important role in coordinating patient care, communicating with attorneys and insurance-related contacts, and ensuring the office runs smoothly each day.

Key Responsibilities

Patient Scheduling & Front Desk

  • Schedule new and existing patient appointments and manage the daily appointment calendar.
  • Confirm appointments and help maintain consistent patient attendance.
  • Greet patients warmly and provide an exceptional front-office experience.
  • Answer phones, respond to patient questions, and communicate clinic policies and services.
  • Explain our chiropractic, rehabilitation, and wellness services to current and prospective patients.
  • Coordinate patient check-in and check-out efficiently.

Payments & Administrative Duties

  • Collect patient payments and maintain appropriate documentation.
  • Assist with patient paperwork, records, and other administrative tasks.
  • Help keep the front desk organized and ensure patient information is handled professionally and confidentially.

Auto Injury / Attorney Coordination

  • Communicate professionally with attorneys and their offices regarding patient appointments, treatment status, documentation, and other appropriate case-related needs.
  • Coordinate requests for records, bills, treatment information, and other documentation as directed by clinic procedures.
  • Build positive working relationships with attorneys and other professionals involved in our patients' care.

Clinic Organization

  • Keep the front desk, waiting area, patient rooms, and rehabilitation areas clean, organized, and welcoming.
  • Complete an end-of-day walkthrough to ensure treatment rooms and rehab areas are tidy and ready for the following day.
  • Help maintain a professional, positive, and patient-focused clinic environment.

What We're Looking For

  • Previous experience in a medical, chiropractic, wellness, dental, physical therapy, or similar healthcare office preferred.
  • Excellent customer service and communication skills.
  • Strong organizational skills and attention to detail.
  • Comfortable answering phones and interacting with patients throughout the day.
  • Ability to multitask and prioritize in a busy office environment.
  • Professional, friendly, and confident personality.
  • Strong follow-through and ability to manage multiple patient and attorney communications.
  • Ability to maintain patient confidentiality and professionalism at all times.
  • Proficiency with computers, scheduling systems, email, and basic office software.
  • Experience working with personal injury/auto accident patients or attorney offices is a plus.

The Ideal Candidate

The ideal candidate is someone who is warm and personable with patients but highly organized behind the scenes. You should be comfortable taking ownership of the front office, anticipating what needs to be done, following up without being asked, and helping create a smooth experience for both patients and the clinical team.

This is a hands-on position for someone who takes pride in keeping an office organized, clean, efficient, and welcoming.
