Role Summary
The Real Estate Paralegal supports Who Brewโs new site acquisition and development pipeline by managing the transactional, documentation, and administrative work tied to new stand openings. Working directly with leadership and outside counsel, this role moves deals from letter of intent through lease execution and coordinates the real estate workstream for each new stand opening.
The Real Estate Paralegal supports a lean, fast-moving real estate team and must be highly organized, proactive, and comfortable operating at the intersection of real estate, legal, and operations. This role requires someone who takes full ownership of their work, communicates clearly across internal teams and external partners, and thrives in a high-growth environment.
Real Estate Transaction Support
โข Assist in the drafting, review, organization, and tracking of letters of intent, lease agreements, purchase contracts, and related real estate documents.
โข Coordinate with landlords, brokers, developers, and outside legal counsel to advance transactions through each stage of the deal process.
โข Update a tracking log for legal aspects of all real estate deals, ensuring key milestones, deadlines, and contingencies are flagged and met.
โข Prepare and circulate document summaries, redlines, and execution packages for internal review and signature.
โข Manage the flow of information and documents between internal stakeholders and external parties throughout the transaction lifecycle.
Due Diligence & Site Documentation
โข Collect, organize, and maintain due diligence materials including title reports, surveys, zoning documentation, permitting records, and environmental reports.
โข Build and maintain a digital file room for each site with complete, organized documentation accessible to the internal team.
โข Track and flag due diligence deadlines and contingency expiration dates across all active transactions.
Lease Administration
โข Manage executed lease files and maintain up-to-date lease abstracts covering critical dates, rent obligations, renewal options, and landlord notice requirements.
โข Coordinate estoppel certificates, subordination and non-disturbance agreements (SNDAs), and landlord consents as needed.
โข Ensure all deliverables and notice obligations are completed on time.
New Stand Opening Coordination
โข Support the end-to-end real estate workstream for new stand openings, working alongside the operations and construction teams.
โข Coordinate permit applications, business license filings, and government agency submissions in partnership with local counsel and municipal contacts.
โข Assist in tracking construction milestones with relevance to lease delivery obligations and landlord work letter requirements.
โข Serve as the point of contact for real estate-related questions and documentation during the pre-opening process.
Cross-Functional Collaboration
โข Partner closely with the Construction, Operations, and Finance teams to ensure contractual obligations under leases and purchase agreements are met.
โข Ensure seamless transitions from site acquisition through lease execution and store opening from a documentation and process standpoint.
โข Communicate proactively across internal teams to flag deal status, upcoming deadlines, and open items.
โข Support leadership with real estate reporting and deal status updates.
Communication & Reporting
โข Provide clear and consistent transaction status updates to the COO.
โข Maintain visibility into deal pipeline status, critical date schedules, and open due diligence items.
โข Communicate proactively with external parties including landlords, brokers, and counsel to keep transactions moving.
โข Escalate issues or risks that require leadership decision-making in a timely manner.

Requirements:
Required Skills & Qualifications
โข 2+ years of paralegal or real estate legal support experience, preferably with a focus on commercial real estate transactions.
โข Background in retail, QSR, restaurant, or multi-site real estate strongly preferred.
โข Demonstrated ability to manage multiple active transactions simultaneously with strong organizational systems.
โข Familiarity with commercial lease structures, common landlord/tenant provisions, and standard due diligence processes.
โข Experience coordinating with outside counsel, landlords, and brokers in a transaction support role.
โข Exceptional attention to detail in document review, drafting, and file management.
โข Clear written and verbal communication skills with internal and external stakeholders.
โข Ability to manage competing priorities and deadlines in a fast-paced growth environment.
โข Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and document management platforms.
โข Paralegal certificate or associateโs/bachelorโs degree in paralegal studies, legal studies, real estate, or a related field preferred.
Physical & Work Requirements

โข Availability to support time-sensitive deal deadlines which may occasionally require evening or weekend response.
Supervisory Responsibilities
โข This role does not have direct reports.
โข May coordinate and direct the work of outside counsel, brokers, title companies, and other third-party service providers on active transactions.
