Job description

Client Service & Operations Associate

Remote (U.S.-based) or / Flexible Hybrid if located in Austin, TX Metro | Part-Time to Full-Time

Overview

This is a private, referral-only opportunity to join a boutique financial planning practice in a high-trust, execution-focused role.

We are seeking a Client Service & Operations Associate to support all aspects of the business and a lead solo Advisor with a deep roster of professional consultants, looking to sustain an already successful practice and grow it’s impact — including Advisor support, client service, planning preparation, and operational workflows — through consistent, detail-oriented execution. Candidates should have a curiosity in not just the ‘how’ but also ultimately the ‘why’ as it relates to all processes and outcomes.

You will work closely with the advisor across multiple and eventually all areas of the practice. Over time, you will gain exposure to how the business and the industry operates end-to-end, while being responsible for ensuring that processes are carried out accurately and on schedule, with an end goal of seamless client experience life-cycle from lead generation to onboarding for initial financial planning, to long-term mutually beneficial professional relationships.

This role is best suited for someone who values challenges, learning, personal and professional growth, accountability, variability in tasks and urgency, and doing things well, and who takes pride in supporting a high standard of work behind the scenes.

How This Role Functions

The advisor is responsible for strategy, advice, and direction.

This role is responsible for highly dependable support, learning, execution, follow-through, and consistency.

You will be trained across multiple areas of the business and asked to support each of them over time. Your success will come from reliability, attention to detail, and the ability to carry out processes exactly as intended.

You are not expected to create new initiatives or lead strategy, but you are expected to:

  • Learn the innerworkings or the practice
  • Execute thoroughly
  • Ask questions when needed
  • Identify inefficiencies within your workflow
  • Improve how work gets done over time
Core Responsibilities

Advisor and Client Service & Relationship Support

  • Serve as a responsive, professional point of contact for advisor and client requests
  • Coordinate meetings, prepare materials, and manage follow-up tasks
  • Ensure a consistent and high-quality client experience
  • Business processing and follow through in Financial Planning onboarding and deliverables, insurance underwriting and production, investment account opening and maintenance, NIGO fixes, and ongoing service of complex structures of multiple products, strategies, and planning techniques executed within a single household, duplicated across a growing book of high income and high net worth professionals, business owners, and families.

Operations & Workflow Execution

  • Maintain CRM systems, tasks, and documentation daily
  • Track all client service items and new business processing through completion
  • Learn and follow established processes with precision and consistency

Planning & Case Preparation

  • Gather, organize, and input financial data
  • Assist in maintaining financial planning, investment, and insurance software (e.g., eMoney, SalesForce, WealthScape, Envestnet, Insurance and Annuity illustration software, and NYL Agency Portal among others)
  • Prepare reports and materials for advisor review

Practice Support (Execution Across Functions)

  • Support marketing logistics (campaign coordination, tracking, scheduling — not content creation)
  • Maintaining nurture funnels for existing prospects toward conversion to clients
  • Client events and advisor networking
  • Assist with administrative aspects of hiring and onboarding as needed
  • Help maintain internal systems and identify opportunities for efficiency
Who This Role Works Well For
  • A professional seeking a stable, meaningful role with clear expectations
  • Someone who prefers execution over ownership, and takes pride in doing work thoroughly
  • An individual returning to the workforce or seeking a more flexible structure
  • A person who values being highly dependable in a trusted support role
What Matters Most
  • Follow-through — tasks are completed fully and correctly
  • Coachability — direction is applied quickly and without resistance
  • Attention to detail — small errors are caught and corrected early
  • Organization — systems stay clean, current, and reliable
  • Judgment — knows when to proceed and when to ask
What This Role Is Not
  • Not a strategy or leadership role
  • Not a content creation or thought leadership position
  • Not a fit for someone seeking rapid autonomy or constant change
Growth Path (Earned Over Time, Encouraged Throughout)

Growth in this role is earned through consistency, reliability, and trust, and is actively supported by the firm over time.

For candidates interested in expanding responsibilities (encouraged):

  • Life & Health Licensing (LSA track)
  • Registered Service Assistant (RSA track)
  • Increased involvement in planning and client interactions

Progression is based on demonstrated capability and alignment, not timelines.

Compensation
  • Competitive salary based on experience
  • Health Insurance Stipend, 3% Retirement matching contribution, Life /Disability available if eligible
  • Performance-based bonus potential
  • Flexible work and PTO structure
  • Licensing support provided, with Life & Health and FINRA licensing strongly encouraged as part of long-term success in the role
How to Apply

This is a referral-based opportunity.
