Job description

SUMMARY

Prepares documentation packages and maintains quality assurance/Laboratory files,

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Prepare and review documentation packages to ensure compliance with applicable standards, including ASTM, ASME, customer specifications, and internal procedures

Verify accuracy and completeness of Material Test Reports (MTRs), Certificates of Conformance (CoCs), and supporting quality records

Submit and distribute completed documentation packages (including MTRs, CoCs, and supporting records) to customers through designated portals or email

Identify and flag discrepancies, missing data, or nonconforming information to appropriate personnel for correction

Maintain confidentiality and integrity of all quality records and customer documentation

Operate scanning and document imaging equipment to digitize and archive records

Organize, file, and maintain documents within the document control system to ensure traceability and easy retrieval

Ensure all records are properly controlled, labeled, and stored in accordance with QMS requirements

 

SUPERVISORY RESPONSIBILITIES

This job has no supervisory responsibilities.

 

QUALIFICATIONS  To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE

High School diploma or GED and 1 year of clerical experience.

Experience with quality management systems (QMS) preferred.

Familiarity with Material Test Reports (MTRs) and Certificates of Conformance (CoCs) preferred.

Understanding of traceability requirements in manufacturing environments.

Ability to manage high-volume documentation while meeting deadlines.

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine reports and correspondence. 

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to perform these operations using units of American money and weight measurement.

OTHER SKILLS  

General knowledge of computers and office equipment.

Experience with ERP systems or quality databases (preferred).

Familiarity with document control systems and record retention practices

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations.
