Job description

Executive Assistant

The Virginia Economic Development Partnership (VEDP) is seeking an Executive Assistant to provide complex, strategic, executive-level support to the Sector Divisions. This position will organize office operations, manage divisional workflows, and thrive in a fast-paced, high-demand environment supporting the Sector Divisions' three (3) Vice Presidents.

Responsibilities:

  • Manage and prioritize divisional workflows, including calendar management and appointment scheduling for the Vice Presidents
  • Manage the office budget by tracking and forecasting monthly expenses; review and approve initial travel expense submissions for divisional staff
  • Conduct research, edit, and prepare drafts of correspondence and presentations, including preliminary responses and prioritization of correspondence on behalf of the Vice Presidents
  • Identify process improvements and implement changes, as necessary, to streamline operations and expedite workflow
  • Coordinate staff onboarding by scheduling training meetings and ensuring employees have the appropriate materials and equipment
  • Support meetings led by the Vice Presidents by taking notes, drafting official meeting minutes, coordinating logistics, and maintaining meeting-related documentation

  • Exceptional grammar, punctuation, and proofreading skills
  • Ability to lead, manage, and train others
  • Ability to respond in a flexible manner and reprioritize as situations change
  • Strong communication skills (verbal and written)
  • Strong organizational skills and exceptional attention to detail
  • Ability to maintain strict confidentiality and professionalism
  • Demonstrated experience exercising discretion and independent judgement with respect to matters of significance
  • Demonstrated ability to manage multiple priorities
  • Demonstrated ability to adapt to new technology and acquire new skills
  • Knowledge of the public service sector and state and local government desired

Experience:

  • Experience using Microsoft Office, especially Excel and Advanced PowerPoint
  • Experience using Salesforce preferred
  • Extensive administrative experience in an executive environment

This is a hybrid position based in VEDP's office in Richmond, Virginia.
