Employee Services & Onboarding Support

• Coordinate seating arrangements for new joiners after obtaining required approvals.
• Arrange employee ID cards, access cards, and business cards as per eligibility.
• Facilitate issuance, activation, and tracking of phones and SIM cards for new joiners and employees traveling internationally.
• Assist in planning and executing employee engagement activities, events, and training sessions.

Office Operations & Facilities Management

• Oversee daily office operations to ensure a safe, clean, and well‐functioning workplace.
• Monitor cleanliness and organization of common office areas and coordinate with housekeeping teams.
• Manage office supplies, stationery inventory, and initiate purchase orders for operational needs.
• Coordinate with vendors, contractors, and service providers; negotiate rates and manage service contracts (housekeeping, security, temporary staffing, maintenance, etc.).
• Track courier services, business correspondence, and ensure proper documentation and delivery follow‐ups.

Administrative Analysis & Documentation

• Maintain accurate records of office/admin expenses, ensuring proper documentation, budgeting support, and monthly expense provisions.
• Process admin‐related invoices, verify supporting documents, and ensure timely vendor payments.
• Prepare periodic administrative reports, dashboards, and documentation for management review.
• Support travel arrangements, bookings, and expense management for employees.
• Maintain confidential company records, files, and compliance‐aligned documentation.

Compliance, Safety & Issue Resolution

• Oversee workplace safety protocols and prepare safety compliance reports.
• Address and resolve admin‐related issues raised by employees or management.
• Ensure adherence to organizational policies, procurement guidelines, and documentation standards.

Cross‐Functional Coordination

• Assist in scheduling meetings, preparing minutes, and supporting cross‐departmental coordination.
• Collaborate with HR, Finance, IT, and Facilities teams to ensure seamless administrative operations.
• Support additional HR & Admin tasks as assigned.
