VZ Law is hiring a full-time Office Manager/Bookkeeper with at least 3 years of financial and office management experience to oversee our growing law firm. This is a key position that works closely with the firm's attorneys, staff, vendors, and outside professionals. The ideal candidate will be comfortable managing multiple priorities and will take ownership of both bookkeeping and office administration.   
This is an onsite position that reports to our office in Downtown Long Beach.

The compensation for the Office Manager and Bookkeeper position is $75,000 - $90,000 annually. This position is also eligible for the following benefits:

Essential Position Responsibilities 

Bookkeeping and Financial Administration 

• Maintain accurate financial records and perform day-to-day bookkeeping. 
• Process accounts payable and accounts receivable. 
• Prepare and process vendor invoices, checks, deposits and payments. 
• Review and process payroll.  
• Monitor firm expenses and assist with budgeting and financial reporting. 
• Maintain accurate client and firm financial records. 
• Assist with monthly and year-end accounting procedures. 
• Coordinate with the firm's CPA or outside accounting professionals. 
• Handle confidential financial information with the highest degree of discretion. 

Office Management 

• Oversee the firm's daily office operations and administrative functions. 
• Manage office supplies, equipment, vendors, maintenance and other service providers. 
• Coordinate facilities, building management, mail, deliveries and office logistics. 
• Assist with onboarding new employees and coordinating personnel-related administrative matters. 
• Maintain organized office records and files. 
• Serve as a point of contact for vendors, building management and other outside providers. 

Qualifications 

• At least 3 years of financial experience, including full-cycle bookkeeping, AR/AP, payroll, budgeting and financial reporting. 
• At least 3 years of office management or related experience.  
• Strong understanding of bookkeeping and general accounting principles. 
• Proficiency with QuickBooks and Microsoft Office, particularly Excel. 
• Experience with legal billing or law-firm accounting software. 
• Excellent organizational and time-management skills.  
• Strong attention to detail and accuracy. 
• Professional communication skills, both written and verbal. 
• Ability to work effectively with attorneys, staff, clients, and outside vendors. 
• Strong judgment and discretion when handling confidential information.  

Preferred Experience 

• Legal billing and client trust accounting. 
• IOLTA/trust-account procedures. 
• Experience with Clio legal software. 
• Law-firm accounting or practice-management software. 
• Experience in a law-firm environment. 
• Vendor and facilities management. 
• Human resources responsibilities such as employee onboarding.
