Production Administrator

Are you highly organized, detail-oriented, and passionate about helping large-scale events come to life behind the scenes? Unionwide is seeking a Production Administrator to support our event production team in managing conferences, national meetings, and large-scale events for our clients.
This role is perfect for someone who thrives in a fast-paced environment, enjoys coordinating details, and takes pride in keeping projects organized and running smoothly.
What You'll DoDocument & Project Support
Prepare meeting agendas and take detailed notes
Maintain digital project files
Assist with timelines, task tracking, and deliverables
Production Coordination Support
Support producers and project managers throughout event planning and execution
Help prepare presentations, proposals, and reports
As directed by the production team, communicate with vendors and venues
Operational Support
Prepare invoices for small events
- Maintain production and event calendar
Assist with setting up tasks in Microsoft Planner
Assist with final billing support
Qualifications
2–4 years of experience in an administrative support role for the production of events, or operations experience
Strong organizational and managing multiple tasks
Excellent written and verbal communication
Ability to manage multiple deadlines
Proficiency in Microsoft Office, Planner and Teams
- Experience with Smartsheet and QuickBooks a plus
