Job description

POSITION SUMMARY - The Volunteer Coordinator executes an approved strategy designed to lead an efficient, quality Volunteer Program. The Volunteer Coordinator oversees volunteer applications, training, and individual and group activities. Further, this role supports the Development Department through relationship building and an overall mindset towards organizational sustainability.

ESSENTIAL FUNCTIONS

  1. Maintain application process and assist volunteers with applications.
  2. Communicate with new volunteers within three business days of training with a goal of service to take place within one month.
  3. In coordination with the Chief Development Officer, update and manage online volunteer training through the online platform.
  4. Ensure background checks are performed and add relevant information in donor management system.
  5. Ensure accurate data entry of all volunteers into donor management system.
  6. Link approved volunteers with the appropriate staff members who will employ their service.
  7. Interface with programming and facilities teams when group volunteer projects are scheduled and maintain all volunteer activities on appropriate WellHouse calendars.
  8. Direct new resident mentors to CEO to match with resident and provide quarterly follow up.
  9. Provide a biweekly report to Chief Development Officer to include, at a minimum, number of new volunteers, number of new applications, project updates, etc.).
  10. Provide metrics for board and/or grant reports, including volunteer demographics and hours served.
  11. Monthly, write and send appreciation thank you cards to volunteers and volunteer groups.
  12. Special projects as assigned by the Chief Development Officer.

ADDITIONAL DUTIES AND RESPONSIBILITIES

  1. Participates in training/meetings as scheduled by the Chief Development Officer.
  2. All other duties as required and assigned by the Chief Development Officer.

KNOWLEDGE, SKILLS AND ABILITIES:

  1. Strong judgment and critical thinking skills.
  2. Ability to maintain professional boundaries with rescues, residents, volunteers, stakeholders, donors, guests, and other WellHouse staff.
  3. Must possess effective reading comprehension skills.
  4. Must possess strong customer service skills (courteous, friendly, etc.). Requires the ability to identify and solve problems in a calm, logical manner. Problem solving will include cooperative efforts with the rescues, residents, volunteers, stakeholders, donors, guests, and other WellHouse staff.
  5. Demonstrated organizational skills, with the ability to manage crisis, deescalate individuals, foster teamwork; multi- task; adapt quickly to change; and the ability to integrate the organization’s mission with required tasks, residents, and rescues.
  6. Excellent interpersonal and communication skills, including the ability to write and speak clearly and effectively, and to listen attentively.
  7. Highly motivated, organized, and display mature judgement.
  8. Demonstrated ability to comply with policies and procedures; uses proven sound judgement and discretion with sensitive information.
  9. Ability to work independently.
  10. Must be ethical (honest, responsible, accountable, demonstrates integrity).
  11. Ability to work respectfully, non---judgmentally, and professionally with diverse groups of people and various populations in a culturally competent manner. This includes internal and external interactions.
  12. Must be adaptable (open to feedback, change, new ideas) and be flexible in job tasks within a team format.

  14. Must maintain eligibility requirements for The WellHouse vehicle insurance coverage. Requires a current and valid unencumbered driver’s license.

EDUCATION AND EXPERIENCE

  1. Business degree preferred.
  2. Minimum of a High School diploma or GED.
  3. Experience in administration and/or customer relations preferred.
