Operations Data Analyst

Reports to: Director of Operations 
FLSA Status: Full-Time, Exempt  

Position Summary 

The Operations Data Analyst plays a key role in measuring organizational performance while supporting the systems, processes, and operational activities that keep The Well running effectively. This position develops reporting systems, analyzes operational and clinical data, monitors key performance indicators, supports accreditation and regulatory readiness, and helps ensure leadership has accurate, meaningful, and timely information to evaluate organizational performance and identify opportunities for continuous improvement.

Beyond data analysis, this role works across departments to strengthen operational accountability, support audits and compliance activities, optimize organizational systems, coordinate reporting and surveys, and help move operational initiatives from planning through completion. Success in this role requires someone who enjoys solving complex problems, improving processes, building efficient systems, and balancing analytical work with hands-on operational support.

Qualifications 

Education & Experience

• Bachelor's degree in Business, Healthcare Administration, Information Systems, Data Analytics, Project Management, or a related field, and/or 2–4 years of experience in operations, business analysis, quality improvement, healthcare administration, data analytics, systems administration, or a related role.
• Experience working with electronic health record systems and clinical documentation preferred

Duties and Responsibilities 

1. Data Tracking & Reporting 

• Develop, maintain, and improve reports, dashboards, and data tracking systems that support operational oversight and organizational performance.
• Compile and organize data across departments for reporting, operational, and quality improvement needs.
• Analyze operational and organizational data to identify trends, patterns, risks, and opportunities for improvement.
• Support the Director of Operations in data analysis, visualization, and presentation preparation
• Assist in preparing and submitting required quarterly, annual, regional, grant, accreditation, and regulatory reports.
• Maintain accurate and organized records of data sources, reports, and survey results to ensure reporting consistency and data integrity.
• Assist in developing and monitoring key performance indicators (KPIs), scorecards, and other organizational performance measures.
• Support the preparation of organizational summaries, annual reports, and other materials that communicate operational performance and outcomes.

2. Operational Performance & Accountability

• Develop and maintain tracking systems that monitor key operational requirements, projects, corrective actions, inspections, surveys, and other organizational priorities.
• Monitor completion of operational requirements across departments and proactively follow up to ensure timely completion and accountability.
• Identify recurring barriers, workflow gaps, operational risks, and opportunities for improvement, communicating findings and recommendations to the Operations team.
• Support cross-functional operational initiatives by participating in EOS® Level 10 meetings, project meetings, and other cross-department collaboration efforts.
• Assist with implementation and follow-through of operational improvement initiatives from planning through completion.
• Maintain accurate operational documentation and tracking systems that support organizational accountability and transparency.

3. Audit, Accreditation & Compliance

• Support ongoing organizational readiness for CARF accreditation and other regulatory, contractual, and compliance reviews.
• Participate in audit preparation, documentation review, evidence collection, and operational compliance activities across departments.
• Maintain audit tracking systems and monitor completion of audit findings, corrective actions, and compliance requirements.
• Analyze audit findings to identify trends, recurring issues, and opportunities for operational improvement.
• Support Continuous Quality Improvement (CQI) initiatives through audit findings, performance monitoring, and compliance activities.

4. Systems Administration & Optimization

• Serve as a operational support resource for the organization's Electronic Health Record (EHR) and other operational software platforms.
• Build, maintain, and optimize forms, workflows, reports, automations, and system configurations across the EHR and other organizational systems.
• Evaluate organizational workflows and collaborate with departments to improve how technology supports clinical, administrative, and operational processes.
• Troubleshoot advanced system issues, investigate root causes, and collaborate with internal teams and external vendors to resolve problems and implement enhancements.
• Support implementation, testing, training, documentation, and rollout of new system features, workflows, and technology solutions.
• Develop and maintain system documentation, procedures, and best practices to promote consistency and effective system use across the organization.

5. Continuous Quality Improvement

• Assist with organizational performance improvement initiatives using data analysis, audit findings, and operational feedback.
• Identify opportunities to improve workflows, standardize processes, and reduce operational inefficiencies.
• Evaluate existing processes and recommend practical solutions that improve quality, compliance, and organizational effectiveness.
• Support implementation and monitoring of continuous improvement initiatives across departments.

• Help develop and maintain processes that promote operational excellence and long-term organizational success.

Work Environment & Requirements

• Primarily based at the administrative office with occasional travel to other organizational locations as needed.
