Personal Injury Accountant

Position Summary

The Personal Injury Accountant is responsible for managing all accounting functions related to the firm's trust accounts, settlement disbursements, operating accounts, financial reporting, and compliance. This position plays a critical role in ensuring accurate financial management while maintaining compliance with applicable trust accounting rules, tax regulations, and firm policies.

The ideal candidate possesses extensive accounting experience within a personal injury law firm and understands the financial lifecycle of pre-litigation and litigation cases from intake through settlement disbursement.

Essential Duties and Responsibilities

Trust Accounting

  • Manage all attorney trust (IOLTA) accounts.
  • Reconcile trust accounts daily, weekly, and monthly.
  • Ensure all trust transactions comply with state bar requirements.
  • Monitor client balances and resolve discrepancies promptly.
  • Maintain detailed trust ledgers for each client matter.

Settlement Accounting

  • Review settlement statements for financial accuracy.
  • Verify attorney fees, costs, medical expenses, reductions, liens, and client distributions.
  • Process settlement disbursements.
  • Coordinate wire transfers and check issuance.
  • Ensure all settlement funds are properly received before disbursement.
  • Audit settlement files before funding.

Accounts Payable

  • Process vendor invoices.
  • Pay medical providers.
  • Process litigation expenses.
  • Reconcile vendor accounts.
  • Monitor recurring operational expenses.

Accounts Receivable

  • Record incoming settlement proceeds.
  • Monitor referral fee collections.
  • Track outstanding reimbursements.
  • Assist with collections when necessary.

Bank Reconciliations

  • Reconcile all operating accounts.
  • Reconcile payroll accounts.
  • Reconcile credit card accounts.
  • Investigate and resolve discrepancies.

Financial Reporting

Prepare:

  • Monthly Profit & Loss Statements
  • Balance Sheets
  • Cash Flow Reports
  • Trust Account Reports
  • Case Cost Reports
  • Settlement Revenue Reports
  • Budget Variance Reports
  • KPI Financial Dashboards

Payroll Support

  • Coordinate payroll data.
  • Verify commissions and bonuses.
  • Process payroll adjustments.
  • Maintain payroll records.

Budgeting & Forecasting

  • Assist with annual budgets.
  • Monitor departmental spending.
  • Prepare financial projections.
  • Analyze profitability trends.

Compliance

  • Ensure compliance with GAAP.
  • Maintain accounting controls.
  • Prepare records for annual CPA review.
  • Assist with tax preparation.
  • Maintain financial documentation.
  • Ensure compliance with attorney trust accounting requirements.

Software Management

Required Qualifications

  • Bachelor's degree in Accounting, Finance, or related field.
  • Minimum of 5 years of accounting experience.
  • Minimum of 3 years of accounting experience in a personal injury law firm.
  • Strong understanding of attorney trust accounting.
  • Experience handling settlement disbursements.
  • Advanced Excel skills.
  • Excellent analytical and organizational abilities.
  • High level of integrity and confidentiality.
  • Strong written and verbal communication skills.

Preferred:

  • CPA or CPA candidate.
  • Experience with legal accounting software.
  • Experience managing multiple operating accounts.
