Job description

General Office and Showroom responsibilities

Greet all visitors – 1st Impression of the dealership

Office phones and equipment

  • Answer phones and understand the phone system for updates and training to the company
  • Trouble shoot telephone, printers, copiers

Kitchen and Food Preparation -Maintain clean kitchens for the office staff, visitors and guests.

  • Dishes cleaned, keep placesetting and silverware organized and stocked. Keep all serving platters, dishes and plates for lunch and learns organized within the kitchens
  • Present and prepare food - Be able to plate and present food along with clean up for presentations and Happy Hour events in showroom
  • Restock kitchen accessories, dishes, paper goods
  • Keep refridgerators stocked with beverages and cleaned regularly

Showroom Organization -

Maintain a clean and tidy showroom, various cleaning required in addition to cleaning crew.

  • Know products on floor to keep respective places for each item.
  • Manage Sample chairs and keep showroom floor clear of boxes or samples
  • Accessorize showroom with the base layout

Office manager responsibilities, building maintenance oversight -call landscapers, pest control, air conditioning, window washers, handyman. Handle maintenance issues etc. as needed.

Mail, Shipping, Packages

  • Ship and distribute all US mail, FedEx, and UPS
  • Order samples to be shipped to employees or clients

Office Calendar and Conference rooms

  • Keep and monitor the conference room calendar for the office
  • Maintain the technology in all conference rooms, “How To” documented and displayed

Presentations – Execute Lunch and Learns, Breakfast presentaions and Happy hour events –

  • Prepare and execute in a professional manner -order food, placesettings, drinks and be able to prepare and present, plate food and desserts
  • move furniture to appropriate layout based on sales team direction.
  • Set up, coordinate, and display for an event.

Executive assistant to leadership team - Arrange travel for business trips, airfare, hotel, etc.
